The Opportunity
This position works onsite out of our headquarters at Abbott Park, Illinois in the Legal Division.
As a Legal/OEC Administrative Assistant, you will provide administrative support to the Legal/OEC organization including DVPs, attorneys, directors, and other team members.
What You’ll Work On
This position provides comprehensive support to the Divisional Vice President (DVP) of Legal Operations and others within the team, as assigned, with occasional need for overtime support
Responsible for all departmental administrative functions, including managing calendars, creating and modifying business documents, managing department meetings and processes, scheduling travel, processing expense reports, and answering phones
Utilizes advanced software skills, including Microsoft Office Suite and other business-specific software such as iManage document management, corporate travel, and procurement, to effectively support their organization
Qualified candidates will demonstrate top-notch written, verbal and proofreading communication skills
Practices good judgment and maintains confidentiality in handling sensitive business information
Consistently interacts with high-level executives and works with cross-functional teams in connection with projects and division-wide support
Builds strong working relationships and networks with others to drive efficiency into the organizations they support
Provides basic project management support and assists with meeting/event coordination
Conducts onboarding activities, including workspace set-ups for new employees
Prioritizes workload to ensure departmental support needs are fulfilled
Maintains departmental files, as assigned, in compliance with corporate policy
Responsible for compliance with applicable Corporate and Divisional Policies and procedures
Required Qualifications
High School diploma or equivalent, some college preferred
5+ years of previous administrative experience or equivalent is required
Very quick and advanced verbal, written and proofreading skills
Advanced experience in Microsoft Office Suite (Word, PowerPoint, Teams/SharePoint, Outlook, and Excel); intermediate Excel and SAP, Concur experience preferred
Able to juggle multiple competing needs, prioritizing as appropriate
High level of integrity and professionalism in handling sensitive and confidential information
Ability to work independently and as part of a team
Proactive problem solver with strong attention to detail

The base pay for this position is $22.00 – $44.00 per hour. In specific locations, the pay range may vary from the range posted.
