Minimum QualificationsYou must have a high school diploma or high school equivalency diploma; and three years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office. Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.PREFERRED QUALIFICATIONS:Prior experience working as a Secretary/Administrative Support to a Director or Executive Office.Duties DescriptionThe Office of Diversity and Inclusion Management provides guidance and support to partner agencies on DEI programming, leads DEI strategic planning efforts, and coordinates recruitment and outreach efforts for the Department. To better meet jobseekers where they are and to educate the greater community on the many available job opportunities available in public service, the Department is establishing Centers for Careers in Government at 10 DOL Career Centers and this position will play an important role in ensuring the success of the career centers.Reporting to the Director of Diversity & Inclusion Management, the incumbent of this position will be responsible for administrative support activities for the Office of Diversity Management, including:• Answering telephones, including responding to questions concerning non-technical issues, or referring calls to appropriate staff member or program area where intricate answers are required.• Maintaining Director’s appointment schedule by planning and scheduling meetings, conferences and travel; and preparing background materials, handouts and instructions as may be necessary for attendees.• Drafting confidential spreadsheets and reports as needed to facilitate diversity and inclusion activities and work being conducted between Civil Service and affected State agencies.• Developing office procedures for document management and exercising internal controls to safeguard confidential documents and processes.• Assist unit with assigned projects to meet deadlines as needed.• Opening and distributing incoming correspondence, including making a determination on whether deadlines for response need to be established or if referral to another Division is required.• Preparing letters, memoranda, transmittals, reports and other necessary information using the applicable office equipment.Additional Comments#Team Civil Service is growing and is looking for motivated, forward-thinking employees to join our team to build a dynamic workforce.
