Job Overview

The candidate will work closely with the Chief of Staff, the Internal Communications Manager, the Executive Administrator and others in the Office of the President & CEO to ensure the successful execution of the President & CEO’s organizational priorities. Reporting to the Chief of Staff, this is an exciting opportunity for a motivated, organized and creative individual to contribute substantively to both day-to-day operations and longer-term strategic initiatives on behalf of the President & CEO.

This role is being posted as a Special Assistant or Deputy Chief of Staff, depending on the experience level of the candidate. Candidates would be offered the title and pay level within the range advertised here deemed reflective of their past experience relevant to this role.

Primary Responsibilities

Deputy Chief of Staff

  • Work with the Chief of Staff, Executive Team members and other staff to prepare President & CEO for internal and external meetings, presentations and events; provide staff support to/at external meetings, activities and events and ensure timely follow up of all action items.

  • Manage day-to-day operations on behalf of the President & CEO, including coordination of Executive Team meetings, Executive Team file management, and reviewing incoming requests.

  • Coordinate high quality, on message, accurate, and timely follow up to inquiries from the Governor's office, Board, oversight entities, and key external constituencies.

  • Identify and execute on process improvements to streamline operations in the Office of the President & CEO.

  • Support the Chief of Staff and Internal Communications Manager to plan and execute internal organization-wide events and meetings, in coordination with other teams across the Authority.

  • Contribute substantively to Executive Team strategic planning efforts and coordination of other cross-organizational workstreams including goal-setting.

  • Partner with the Chief of Staff and the Diversity, Equity and Inclusion Officer to execute on NYSERDA’s Diversity, Equity and Inclusion strategic plan, with special focus on initiatives that enhance employee engagement.

  • Lead other special projects as assigned by the Chief of Staff and the President & CEO.

  • Perform other responsibilities as assigned, including supporting the work of the Director of Strategy, the Diversity, Equity and Inclusion Officer and others in the Office of the President & CEO or on the NYSERDA Executive Team.

  • Deal with confidential and sensitive matters.

  • Supervise Office of the President & CEO interns, when assigned.

Special Assistant

  • Work with the Chief of Staff, Executive Team members and other staff to prepare President & CEO for internal and external meetings, presentations and events; provide staff support to/at external meetings, activities and events and ensure timely follow up of all action items.

  • Support the Chief of Staff to manage day-to-day operations on behalf of the President & CEO, including coordination of Executive Team meetings, Executive Team file management, and reviewing incoming requests.

  • Coordinate high quality, on message, accurate, and timely follow up to inquiries from the Governor's office, Board, oversight entities, and key external constituencies.

Minimum Qualifications and Requirements

The following criteria will apply to determine eligibility to apply as well as, with regard to the successful candidate, the offered job title and grade:

Special Assistant

  • Bachelor’s degree + 5 years experience OR graduate degree + 4 years experience

  • Strong evidence/ demonstrated past experience of most of the skills listed above, including in any case the skill of being a quick learner, but limited evidence/ demonstrated past experience of one or more of the other skills listed above

Deputy Chief of Staff

  • Bachelor’s degree + 7 years experience OR graduate degree + 5 years experience

  • Strong evidence/ demonstrated past experience of all of the skills listed above

  • Proficiency with MS Office Suite (Word, PowerPoint, Excel)

  • Ability and willingness to travel across New York State

  • Ability to demonstrate respect, equity and inclusive behavior and practices of a diverse workforce and community

Preferences

  • Demonstrated knowledge in clean energy and climate

  • Familiarity with productivity tools such as Asana, Airtable, Monday.com

  • Interest in or experience with change management
