St. Luke's University Health Network Administrative Coordinator, Medical Assistant Trainee Program in Allentown, Pennsylvania

The Administrative Coordinator, SLPG Clinical Education will support the day-to-day operations of the SLPG Clinical Education Department by assisting the Learning and Development Manager and the Clinical Education Manager. The Administrative Coordinator will be responsible for coordinating educational activities, managing administrative tasks and logistics, and serve as a resource to the different members of the education team.

JOB DUTIES AND RESPONSIBILITIES:

  • Assist in coordination of MA Trainee and other educational programs and workshops.

  • Coordinate logistics, including but not limited to, securing room bookings, arranging for necessary supplies and equipment, ensuring all logistical elements are organized efficiently and effectively.

  • Maintain accurate records of trainee evaluation and progress reports.

  • Arrange and oversee scheduling for all new hires and transfers attending academy, immunization, and patient experience classes as required, while ensuring effective communication with all stakeholders.

  • Serve as a point of contact for trainees, educators, and staff, addressing inquiries and providing support as needed. Generate surveys to collect input from Trainees assessing the success and outcomes of the program.

  • Collaborate with the Learning and Development Manager to implement recommendations based on feedback and evaluation findings, aiming to enhance program effectiveness and trainee satisfaction.

  • Assist Learning and Development Managers with day-to-day management of employee timecards and employee scheduling needs.

  • Prepares educational materials, presentations, and handouts as required.

  • Assist in the creation and distribution of promotional materials and communications to promote the MAT program.

  • Communicate with Nursing Manager and fulfills administrative needs for the SLPG education department in absence of Learning and Development Manager.

  • Participate in change management of SLPG Education Department programs.

  • Collaborate with team members and other stakeholders to ensure timely communication and coordination of activities.

  • Other duties as assigned.

PHYSICAL AND SENSORY REQUIREMENTS:

Sitting for up to 8 hours per day, 4 consecutive hours at a time per day. Walking up to 1 hour per day in 30-minute increments. Frequently handling. Occasionally lifting up to 10 pounds. Occasionally carrying up to 10 pounds. Occasionally stooping/bending. Occasionally reaching above shoulder level. Hearing as it relates to normal conversation. Seeing as it relates to general vision and the ability to focus on computer screen throughout the working day. Manual dexterity for typing.

EDUCATION:

High School Diploma or higher.

TRAINING AND EXPERIENCE:

Demonstrated experience in managing multiple priorities/projects with consistent, high-quality outcomes. Excellent interpersonal skills and attention to detail is imperative. Past exposure to an administrative tasks or project management experience is preferred, but not required.
