Robert Half Executive Administrative Assistant in Allentown, Pennsylvania

Description We are offering a contract to hire employment opportunity for an Executive Administrative Assistant in ALLENTOWN, Pennsylvania. The primary function of this role is to provide administrative support to the team, ensuring the efficient operation of the office. This role belongs to the industry of business administration and will be situated in a professional office setting.

Responsibilities:

• Process and route incoming mail in an organized manner and attach corresponding files as required.

• Assist in maintaining comprehensive records related to the team's progress towards achieving identified goals.

• Utilize Microsoft Office Suites to transcribe notes, compose routine correspondence, and prepare reports.

• Handle and screen telephone calls, arranging conference calls when necessary.

• Manage the team's schedule by making appointments and coordinating travel schedules and reservations.

• Welcome scheduled visitors professionally and direct them to the appropriate areas or persons.

• Perform research tasks and compile statistical reports as required by the team.

• Arrange and coordinate meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings.

• Order and maintain office supplies, and arrange for equipment maintenance.

• Perform other tasks and assume other responsibilities as may be assigned by the supervisor. Requirements • Must have proficiency in Microsoft Office Suites.

• Ability to distribute and sort incoming mail effectively.

• Experience with managing switchboards, specifically handling 1 to 10 lines.

• Excellent written and verbal communication skills.

• Strong organizational skills with the ability to multitask.

• Detail-oriented and able to work independently.

• Previous experience in an administrative role would be advantageous.

• Ability to handle confidential information with discretion.

• Demonstrated ability to meet deadlines in a fast-paced environment.

• Strong problem-solving skills and the ability to make decisions under pressure.

• Willingness to learn and adapt to new processes and software.

• High school diploma or equivalent; higher degree in a relevant discipline will be appreciated.

• Professional attitude and strong work ethic.

• Ability to work well with others in a collaborative team environment.
