Ames High School and the Activities Department are seeking an Assistant to the Activities Director.SummaryUnder the direction of the Activities Director, this position assists in providing organization, coordination, supervision, and scheduling of building and district activities.Responsibilities/Essential Functions:Administrative Support:

  • Serves as the primary point of contact for the Activities Director's office, handling incoming calls, emails, and correspondence.

  • Serves as the primary lead for the activities office social media platforms.

  • Schedules meetings, manages the AD's calendar, and maintains office files, records, and documents.

  • Prepares and distributes communications regarding athletic schedules, events, and important updates to students, coaches, and parents.

  • Maintains accurate records of team rosters, game schedules, eligibility requirements, and athletic forms.

  • Manages budget reports, purchasing orders, processing payments with business office, deposits monies, and inventories for athletic and activity supplies and uniforms.

  • Manages and inputs the use of the facilities in the facility online management platform.

  • Coordinates with coaches, parents, and the school administration to ensure clear and timely communication regarding game schedules, practices, and travel arrangements.

  • Serves as a liaison between the athletic department and school staff for facility use and event coordination.

  • Maintains positive relationships with student-athletes, parents, and community members, ensuring a supportive and inclusive atmosphere.

  • Coordinates team end of season meetings and/or banquets.

  • Partners with the Activities Directors at the middle school and high school to plan and develop a comprehensive activities program.

  • Supports and manages all co-curricular and extra-curricular activities as directed by the Activities Director.

  • Supports the management of all online databases (Bound, ML Scheduler, etc.)

  • Attends meetings, in-service training, workshops, etc. for the purpose of gathering information and continuous learning required to perform job functions.

  • May assume Activities Director responsibilities in the absence of the Activities Director.

  • Creates a sense of belonging and welcoming environment for all athletes, families, and staff.

  • Work may involve nights and weekends.

Athletic Event Support:

  • Assists with the setup and breakdown of athletic events, including managing equipment, ticketing, game day operations and seating arrangements.

  • Acts as on-site support during games and tournaments, providing assistance to officials, coaches, and visiting teams.

  • Ensures the availability of medical and safety equipment at games and practices.

  • Assists with managing the entry of scores, stats, and event details into relevant databases or platforms.

  • Supports fundraising initiatives and community events related to athletics.

  • Supervises participants and spectators at activities.

Qualifications:

  • Bachelor’s Degree in a sports management, education or sports related degree.

  • Previous experience in coaching, education, or sports preferred.

  • Previous experience working in a high school activities department preferred.
