Job Summary

The Administrative Assistant provides high skilled level administrative assistance in support of the academic programs in the Department of Graduate Nursing. Assist the Department Chair, Associate Deans, Program Directors, faculty, and students. Assists with routine operational and business activities. This position requires exercising of independent judgment, initiative, and ability to make decisions relative to office operations and university policy and procedures.

Essential Duties and Responsibilities

  • Assist the Department Manager with operational activities and tasks including coordination of financial transactions, maintaining internal controls to ensure departmental cost centers and Procards are reconciled monthly.

  • Arrange travel authorizations and reimbursement requests.

  • Serves as departmental timekeeper for TCP. Submit work orders for building maintenance.

  • Order office supplies and equipment, maintain inventory of supplies, manage copiers, mail distribution.

  • Assist with onboarding new employees.

  • Process and maintain personnel records including recruitment forms, appointments, terminations, and retirements.

  • Collect data from incoming employees.

  • Requests employee card swipe access, office keys, and other supplies and equipment for new hires.

  • Monitor departmental email boxes and respond to internal and external requests from faculty, students, and external licensing agencies.

  • Assist with curricular changes including updates to course objectives, course descriptions, syllabi, webpage, and online filing platforms.

  • Complete and distribute appropriate documents and forms relative to requests from students, faculty, staff, and administrators.

  • Assist with requests for student coursework verifications. Assist with preparation of reports for external agencies.

  • Meeting and event management.

  • Plans events including menu selection, room reservations, cost tracking and RSVPs.

  • Provide administrative support for faculty committees.

  • Maintain records, document minutes, schedule meetings, provide communications.

  • Collect and compile data.

  • Prepare and distribute moderately complex reports and forms.

  • Performs other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree with One (1) year upper-level secretarial experience or high school with five (5) years of increasingly responsible administrative, secretarial and clerical experience with one (1) year of supervisory experience or equivalent experience.

  • Familiar with standard concepts, practices, and administrative procedures.

Preferred Qualifications

  • Bachelor’s degree with two (2) years administrative experience.

  • Familiarity with standard concepts, practices, and procedures within an academic unit.

  • Experience with People Soft, SharePoint and OneDrive.

Knowledge, Skills and Abilities

  • Proven ability to handle multiple projects simultaneously with minimal supervision.

  • Excellent verbal and written communication skills.

  • Strong organizational and time management skills.

  • Must display a high level of professionalism.

  • Strong critical thinking and problem-solving skills.

  • Proficient in Microsoft Office programs: Word, Excel, Outlook, and PowerPoint.
