Job Summary

Perform administrative duties related to personnel, budgeting, travel, fund management, and procurement. Provide skilled administrative support to the Office Administrator, Business Operations Manager, College Business Officer, department chairs, and various CoLA centers. Provide guidance to department administrative personnel. Must stay abreast of all UTA policies and procedures and be prepared to serve as backup to other staff and train new team members when required. Requires a broad understanding of organization operations, organizational procedures, and personnel. Handles confidential and sensitive materials. Manages, prioritizes, and performs with minimum supervision.

Essential Duties and Responsibilities

  • Fund Management- approve designated departmental purchases, confirm fund availability, review account balances, fund transfers, and journal vouchers, resolve discrepancies, ProCard management, process travel, grant, and cost center close outs.

  • Reconciliation – perform monthly review and verification to ensure expenses are posted to the correct cost centers for faculty and staff salaries and general department expenses.

  • Travel – input travel authorizations and process travel reimbursements for faculty and students.

  • Purchasing – create requisitions and purchase orders for supplies and equipment and process all purchase order vouchers.

  • Make purchases for departments using the UTA purchase card (ProCard).

  • Resolves any discrepancies and communicates with employees, HR, and Payroll.

  • Personnel – supply complete position management support including faculty/staff contract/offer letters generation and distribution for signature; create all necessary UTShare eForms; initiate UTShare security access requests on the Department’s behalf; Process Additional Pay Requests and New Position Creation Requests.

  • Manage scholarship award cycle in MAV Scholarshop as directed by Department. Process departmental scholarship awards as decided by the Department Scholarship Committee. Respond to cost centers requests for any new scholarship or endowments.

  • Submit job postings (for recruitment), process appointments, change of status, terminations, and organizes performance evaluations.

  • Assign course instructors for upcoming schedule of classes as needed.

  • Arranges events for designated departments.

Minimum Qualifications

  • Associate’s Degree with three (3) years of administrative experience or equivalent work experience.

Preferred Qualifications

  • Three (3) to five (5) years of experience in a large academic department.

  • Knowledge of the University’s academic policies and procedures.

  • Knowledge of PeopleSoft.

Knowledge, Skills and Abilities

  • Excellent communication skills (written and verbal).

  • Excellent critical thinking and problem-solving skills.

  • Ability to communicate and liaise with faculty and administrators.

  • Efficient and competent working knowledge of Microsoft Office.

  • Proficient knowledge of UTShare, MyMav, Blackboard, Mentis, Digital Measures, and other various UTA programs.
