Job Summary

Provide quality support to the organization and coordination of the processing of work orders and requests for the campus, with an emphasis on customer service.

Essential Duties and Responsibilities

  • Review, receive, enter, approve and route incoming emergency, routine maintenance and service requests for campus submitted by telephone, on-line or email.

  • Follow-up with contractors regarding daily requests for elevators and extermination and provide feedback to Director or Assistant Director.

  • Assist shops with entering materials, labor, comments and closing of work orders.

  • Assist with processing accurate billings for weekly and monthly maintenance, bi-monthly vehicle fuel usage, monthly vehicle maintenance and van rentals.

  • Ability to use dispatch radio equipment.

  • Schedule van rentals.

  • Maintain building roof access log; follow-up with technician to assure roof access is secured; used as a safety measure for technicians.

  • Performs other duties as assigned.

Minimum Qualifications

  • High School diploma with one (1) year of office experience with customer service or the equivalent experience.

Preferred Qualifications

  • Proficiency with MS Office applications, including but not limited to Word, Excel and Power Point.

  • Experience with TMA Systems (Maintenance Management Software.

  • Experience with UT System specific software (PeopleSoft accounting system).

Knowledge, Skills and Abilities

  • Ability to distinguish difference between Housing and Academic buildings and identify services provided by different building trades.

  • Ability to use dispatch radio equipment.

  • Provide excellent oral and written communication.

  • Ability to provide excellent customer service, attention to detail and teamwork.

  • Acts as liaison between the University community and Office of Facilities Management service staff.

  • Ability to handle emergency situations and follow written protocols.

Other Requirements

  • Valid Texas Driver’s License.
