Position Summary

The Department of OB/ GYN is seeking a dynamic Administrative Assistant III to join their team. Under general supervision, the Administrative Assistant will provide professional-level administrative support of a highly responsible and confidential nature to ensure daily department operations and functions are performed in an efficient and effective manner. This position will also ensure all Faculty are appropriately credentialed; to include maintaining and updating current information on file and within the credentialing database.

Minimum Qualifications

Education:

  • Minimum of two (2) years of college education or Associate’s Degree. In lieu of educational requirements, experience may be substituted on a year for year basis.

Experience:

  • Minimum of three (3) years of Administrative Assistant experience.

  • Must be proficient in Microsoft Office Suite.

    Preferred Qualifications

Experience:

  • Administrative Assistant experience supporting Director or Senior Leaders.

Job Duties

Description of Job Duty

  • Provides general administrative support duties.

  • Coordinates the administration of programs, projects, and/or processes by organizing and coordinating department operations.

  • Obtain and verify credentialing documents required upon provider onboarding.

  • Ensure compliance with the appropriate accrediting and regulatory agencies in relation to credentialing functions, including application management and primary source verification.

  • Compile and maintain current and accurate data for all providers.

  • Complete provider credentialing and re-credentialing applications.

  • Monitor applications and follow up as needed.

  • Maintain all providers’ copies of current state licenses, DEA certificates, malpractice coverage, and other required credentialing documents.

  • Maintain knowledge of hospital-specific requirements for credentialing providers.

  • Set up and maintain provider information in online credentialing databases and systems.

  • Coordinate and plan special events and/activities.

  • Perform word processing duties, desktop publishing and graphics and data entry.

  • Assist in the preparation of departmental budgets and monitor expenditures.

  • Prepare requisitions, check requests, blanket purchase orders and other financial documents for assigned accounts.

  • Generate purchase and order lists and purchase supplies from local vendors as needed to fulfill departmental needs.

  • Ability to communicate effectively orally and in writing.

  • Must be proficient in Microsoft Office Suite (i.e. Word, PowerPoint, Excel, Outlook).

On-Boarding Operations:

  • Serve as the initial point of contact for the Department of Obstetrics/ Gynecology for transactions and initiate appropriate notifications and steps as required for successful provider onboarding.

  • Onboards faculty and ensures faculty has appropriate equipment, parking space, and security badges.

  • Maintain progress report, review, and monitor the transition timeline while tracking the provider(s) status to ensure transition steps are completed and appropriately communicated to all operational and financial departments within the committed timeframe.

  • Provide each Faculty with a detailed overview of the steps, timeline, required documents, signatures, and tasks involved in a transition.

  • Ensure the required licensures are in place to operate.

  • Ensure all credentialing paperwork from the Faculty has been submitted in a timely manner.

  • Investigate and resolve issues affecting the transition of the faculty or the requirements of applicable departments.

  • Performs other duties as assigned.

It is MSM’s Immunization policy that all Prospective Employees are required to provide proof that they are vaccinated against COVID -19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption. Failure to provide proof of vaccination for any required vaccines or obtain an exemption from MSM will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
