Position Summary

Morehouse School of Medicine seeks a full-time Administrative Assistant to provide administrative and clerical support to the center. The Administrative Assistant should demonstrate a knowledge of general office procedures, mathematical calculations, and tabulation. In addition, the individual should have the ability to handle a variety of tasks simultaneously with competing deadlines in an effective manner.

Minimum Qualifications

Education: Two (2) years of college education or associate degree. In lieu of educational requirements, experience may be substituted on a year for year basis. Degree must be from a regionally accredited college or university.

Experience: Minimum of two (2) years of related experience. Must type 45 WPM . Must be proficient in Microsoft Office Suite.

Preferred Qualifications

Bachelor’s degree in communications, public relations, journalism or related field. Degree must be from a regionally accredited college or university.

Job Duties

Description of Job Duty

Supports all department projects as necessary, including support for logistics and administrative arrangements for events and personnel.

Maintain all required program and project records, calendars and files (hard copies and electronic files; moXse) for all trainings, projects and activities.

Assist in the preparation of reports and dissemination of information.

Complete time validations (consultant invoice’s), travel reimbursements, travel arrangements and etc.; for staff, trainers, consultants, residents and or students.

Coordinate pre and post event logistics. Handling all training requests for year-round events, including ordering lunch, booking venues, packing materials, evaluation forms, PIF forms, etc.

Put together training packets for trainings and all training materials provided by the consultant, trainer and or program manager.

Prepare requisitions, check requests, blanket purchase orders and other financial documents for assigned accounts as needed to fulfill programmatic needs.

Provide technical and non-technical assistance to trainers, medical students, residents and or consultants regarding SEATEC training requirements and web-based training system (WebCast Wednesday’s)

Assist the department in times of crisis or when unexpected urgent matters arise.

Other duties as assigned.

It is MSM’s Immunization policy that all Prospective Employees are required to provide proof that they are vaccinated against COVID -19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption. Failure to provide proof of vaccination for any required vaccines or obtain an exemption from MSM will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
