PDS Tech Commercial, Inc. Executive Administrative Assistant II in Atlanta, Georgia

Position Purpose:
The Executive Administrative Assistant II provides high-level administrative support to senior leadership, ensuring the smooth and efficient functioning of the executive office. This fast-paced, high-level role requires the ability to manage complex schedules, handle travel logistics, collaborate with internal and external stakeholders, and maintain confidentiality and professionalism. The ideal candidate will be resourceful, proactive, and able to navigate multiple priorities in a dynamic environment while upholding the values and reputation of the company.
Essential Functions:
Executive Calendar Management:
Manage the executive’s calendar, prioritizing meetings and appointments and resolving scheduling conflicts. Ensure efficient and disciplined management of time and appointments.
Proactively schedule important internal and external meetings, including those across different time zones, to ensure timely and organized interactions with the leadership team (LT) and senior executives.
Travel Coordination:
Organize and coordinate all aspects of travel for the executive, including travel authorizations, flight bookings, hotel reservations, visas, airport transfers, and related logistics.
Ensure that all travel arrangements are compliant with the company’s Travel Policy and handle any last-minute changes as needed.
Prepare and submit travel expense reports in accordance with company guidelines.
Meeting and Event Coordination:
Organize meetings and events, including agenda coordination, preparation of presentations and materials, and handling logistics such as room reservations, conference registrations, and local transportation.
Provide hospitality and logistical support for senior management or guests, ensuring all aspects of local logistics are planned and executed.
General Administrative Support:
Perform general clerical duties, including scanning, copying, filing, data entry, and handling mail and emails.
Complete various forms, such as purchase requisitions, purchase orders, shipping requests, travel expense reports, and payment requests.
Contribute to the organization’s excellent reputation by maintaining a professional, friendly, and respectful demeanor in all internal and external communications.
Cross-Functional Collaboration:
Work collaboratively across departments and globally to support the senior executive's work, serving as a liaison between the leadership team, internal departments, and external stakeholders.
Support various projects as required, ensuring effective coordination and follow-up on actions.
Maintaining Confidentiality & Professionalism:
Handle sensitive information with the highest level of confidentiality, discretion, and professionalism.
Represent the executive’s office in a respectful and inclusive manner across all levels of the company and with external partners.
Additional Functions:
- Perform other duties as required or assigned to support the senior executive and the leadership team.
Qualifications & Requirements:
Education: High School Diploma required; some college education in Business, Communications, or related fields is preferred.
Experience: 3-5 years of experience in a high-level executive administrative support role, with experience managing multiple complex calendars and scheduling across time zones. Experience in executive-level travel coordination and expense reporting is preferred.
Skills:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, and Outlook) with the ability to draft basic documents and presentations.
Must have strong Concur experience
Intermediate knowledge of SharePoint and other company systems for document management and communication.
Proven ability to handle confidential information and manage multiple tasks in a fast-paced environment.
Strong organizational skills with excellent time management and attention to detail.
Strong interpersonal and communication skills, with the ability to work effectively across functions and at all levels of the organization.
Ability to coordinate and manage travel logistics, meetings, and events with precision and professionalism.

Work Environment:
- The position will require working in a fast-paced office environment, with frequent communication across different teams and time zones. Occasional travel may be required.
Pay Details: $45.45 per hour
