Job Description

We are seeking an Executive Assistant to support our growing logistics business. This position supports several VP- to C-level executives with complex travel schedules. It requires a customer-service-focused attitude, the ability to adapt to shifting priorities, and a proactive understanding of executive needs. The position is in-office based in Atlanta and reports to the Manager of administration.

Role & Responsibilities:

  • Maintain executive calendars ensuring accuracy across multiple time zones

  • Make travel arrangements and reservations

  • Act as gatekeeper for meetings

  • Expense reporting for several executives including but not limited to Managing Partner, SVPs, VPs

  • Log giving and receiving in Meritum for executives

  • Log & submit sponsorship in Meritum

  • Send/receive documents on behalf of Executives

  • Assist Executives with deskside support

  • Special projects as required for executives (org chart, presentations, proofreading)

  • Hospitality for Executive guests

  • Signature application to electronic documents as needed for Executives

  • Plan team events and volunteering in partnership with other regional EA

  • Provide backup office administrative support to other regional EA and serve as backup support to other Executive Assistants

  • Other duties as assigned

Your Qualifications:

  • H.S. diploma required, college degree preferred

  • 5+ years of executive administrative experience, including C-suite-level experience

  • Proficiency with Microsoft Office products

  • Experience booking complex travel across international time zones

  • Ability to intuitively prioritize and anticipate issues

  • Strong efficient communication skills, synthesizing multiple sources for clear and concise messages; provide updates proactively

  • Comfortable in a fast-paced office

  • Collaborative across teams and levels

  • Organized, positive energy, and customer-service oriented

  • Maintains a productive work atmosphere by acting and communicating in a manner that facilitates positive relationships with customers, clients, coworkers, and management

  • Attention to detail

  • Experience in commercial real estate a plus
