Your Impactful Role

The Personal Injury Case Specialist provides comprehensive administrative support to the Personal Injury (PI) Department, including PI Assistants (PI-AAs), PI Physicians, support staff, the PI Case Manager, and the Executive Director of Administration. This role ensures outstanding patient and client relations through efficient management and coordination of various administrative tasks.

  • Perform daily administrative and clerical tasks for the PI department, which include preparing, processing, faxing, and mailing correspondence, memos, reports, charts, tables, graphs, and trend forecasts.

  • Manage weekly updates for all PI patient cases, ensuring accurate documentation and communication with relevant administrative staff and management.

  • Keep clients and referral sources informed about active patient treatments, documenting patient accounts and departmental reports accordingly.

  • Review and report on PI patient accounts, covering payments, outstanding balances, write-offs, payoff amounts, settled cases, payor changes, and reduction requests.

  • Oversee daily and monthly data records for PI patient cases, working with the PI marketing team and the Administration Operations Manager to ensure reporting is accurate and timely.

  • Schedule and organize various PI-related activities such as meetings, training sessions, client/staff events, and other departmental support activities.

  • Assist the administration team in coordinating and managing daily and weekly PI patient schedules and case management.

  • Provide daily support and backup coverage for PI-AAs and support staff, including answering client emails, telephone calls, and correspondence.

  • Prepare and deliver regular data reports to the PI department, PI physicians, marketing manager, administration operations manager, and executive director.

  • Ensure timely processing of all departmental, patient, and client documentation by coordinating with support departments.

  • Obtain and communicate cost estimates for patient surgeries and treatments, including medical liens, funded cases, outstanding balances, and insurance updates.

  • Schedule PI patient appointments, ensuring all necessary paperwork is completed in advance as directed by the executive director.

  • Handle confidential, time-sensitive, and non-routine information with discretion.

  • Sort and prioritize mail, manage internal paperwork processes, and efficiently answer routine and non-routine questions by the end of the business day.

  • Collaborate with the marketing manager, administration operations manager, executive director, physicians, and support staff to achieve departmental goals and strategic plans for revenue growth.

  • Assist in building, maintaining, and enhancing client relationships through brand building, event invitations, cold calls, Lunch & Learn participation, client appreciation gift distribution, and other marketing activities as directed.

  • Support PI-related off-site and virtual conferences, lunches, dinners, events, and activities.

  • Maintain accurate referral source and client contact data for physician reports and event planning.

  • Demonstrate flexibility in work schedule and maintain a professional appearance at all times.

  • Perform other duties as assigned.

    Qualifications

  • High school diploma or general education degree (GED). Associate or bachelor's degree preferred.

  • Minimum two to three years executive support level experience in a high-volume atmosphere. Prefer experience in a health care organization that includes basic knowledge of insurance plans, coverage and procedures.

  • Experience with Personal Injury cases a plus.

  • Knowledge of MS Excel Spreadsheet software, MS PowerPoint, MS Word Processing software, and Electronic Medical Records (Athena) software.
