Job Overview:

Overview:

The Supervisor of Operations is responsible for supporting the operational day-to-day workflow with an emphasis on helping the Brand Strategy and Planning Excellence teams.

This role requires an understanding of the media planning process from client brief to plan execution, budget management and project management to help teams improve process efficiency and deliverable scoped assignments with accuracy and consistency.

Responsibilities:

  • Attend internal and client status meetings when necessary to provide teams with operations support and to gain a better understanding of all things happening on our client’s business.

  • Regularly update and proof status documents for submittal to client.

  • Help with the development and maintenance of playbooks that will be shared with internal and external teams to ensure consistency across portfolio.

  • Assist with staff plan management and updates as needed.

  • Help facilitate new team member onboarding which includes but is not limited to:

  • Setting up and providing tool access for team members (and clients if applicable), scheduling onboarding meetings with new team members, hiring managers and other appropriate team members, sharing resources, etc.

  • Build and maintain team email distribution lists.

  • Manage internal and external partner vendor relationships (MediaTools, Authorize, etc.) and supporting execution.

  • Manage and execute team requests related to MediaTools, Authorize, MediaOcean, etc.

  • Provide support in building charts and slides for client presentations.

  • Provide project management support defined projects such as the Monthly Planned Leadership Reporting Dashboard(s).

  • Partner with Planning Excellence leads to ensure data is up to date in MediaTools for data pulls.

  • Responsible for pulling MediaTools reports and QA’ing data for upload and implementation in planned dashboard.

  • Adding/removing users to Inspire Dashboard Tableau access list.

  • Collaborating with internal teams to develop new views for the dashboard.

  • Work with project stakeholders to develop timelines and next steps based on objectives for projects to be shared with the greater team.

  • Work with Corporate Finance to help source staff hours reports from timesheets and ensure they are completed by staff in a timely manner.

  • Help oversee the accuracy and delivery of the Monthly Agency Hours Report.

Qualifications

  • Bachelor’s Degree in marketing, advertising, communications or equivalent

  • 3+ years of related experience

  • Knowledge of Microsoft Office software, especially Excel

  • Knowledge of MediaTools

  • Strong attention to detail

  • Willingness to learn new skills

  • A proven ability to multi-task and manage multiple projects effectively under tight deadlines

  • Ability to communicate effectively by telephone, in writing, or in person (inclusive of external partners)

  • Positive, can-do attitude
