Job Description

Responsibilities include:

Facilities:

  • Responsible for workplace service delivery.

  • Responsible for reactive and preventative maintenance completion, according to SLAs and KPIs.

  • Responsible for building records collection and maintenance (asset registers, certification, PPM records, contracts),

  • Execute periodic building inspections, and monthly job-walks with vendors to ensure contracted scope is met.

  • 24/7 availability for operational support.

Staff and Vendor Management:

  • Responsible for local Vendor management / QBRs (quarterly business reviews).

  • Oversee cleaning activities, audits and ensure correct service level.

  • Oversee reception / mail / catering services as applicable.

  • Keep track of hygienic consumables stock levels and responsible for reordering.

  • Possibly manage 1-2 support staff.

Security

  • 24/7 Security on-call for any building emergencies.

  • Work with Corporate Global Security team.

  • Provide incident reports as needed.

  • Coordinate with local security vendor Convergint.

  • Responsible for Lenel Security System with support from Corporate Global Security

Environmental, Health and Safety (EHandS)

  • Support the collection of environmental data from the site. i.e. utility, waste, and water reporting into Environment, Health and Safety Management System (EHSMS).

  • Respond to HandS incidents and report related information into the EHSMS. i.e. report all incident, site headcount and Hours works information.

  • Site contact for any EHS vendors that need to come on site.

  • Support any on site requests from Corporate EHS.

  • Participate in regular EHS meetings (monthly/quarterly).

Real Estate:

  • Serves as local point of contact for landlord during lease term, with Global Real Estate to support and manage lease negotiations/larger issues.

  • Keep headcount/seating information up to date in FM Systems with support from Global Real Estate.

  • Keeps track, records and stores required real estate and workplace services documentation to ensure its updated and available.

  • Project manage small office renovation projects, with support from Bose's Global Real Estate team in U.S.

  • Local point of contact and key member of extended team for Global Real Estate on larger renovation or relocation projects

Financial and General Business:

  • Manage WPS budget, drive savings initiatives and report/roll-up to global WPS budget.

  • Drive service, operational and financial efficiencies across all aspects of the job by identifying and implementing improvements on an on-going basis.

  • Maintain healthy and proactive relationship with onsite stakeholders, regional leadership, and U.S. corporate headquarters.

  • Drive opportunities for process improvement.

  • Support warehouse and shipping

  • Partner with peers across Europe and the globe.

Requirements:

  • 3 years of experience in Facilities Management or similar

  • Technical or Engineering background preferred.

  • Facilities Management degree, certification and / or technical background is a plus.

  • Vendor management experience is a must.

  • Familiarity with Environmental, Health and Safety regulations

  • Excellent verbal and written communication skills.

  • Experience working in corporate multicultural environments.

  • Experience in developing and implementing processes.

  • Ability to analyze data and translate into recommendations / actions.

  • Independent and hands on.

  • Able to work under pressure and make decisions.

  • Proactive in acknowledging issues and proposing solutions.

  • Customer driven focus.

  • Fluent English speaker

  • Any other European language is a plus.

  • First aid, CPR, AED certification - (preferred)
