Job/Position DescriptionThe Administrative Asst III Performs complex technical administrative support duties for the Consumer Protection Division, Radiation Control Section, Operations branch.Performs complex data entry into the Versa Regulations System and proficiently uses Microsoft Office 365 applications to process inspection reports. ? Performs daily mail, email, and fax processing. ? Prepares and tracks compliance correspondence to and from regulated entities. ? Prepares and distributes information for review in the Radiation Compliance Review Committee according to written policy. ? Provides customer assistance by answering a call line and routing calls to appropriate personnel. ? Assists with the development of procedures for administrative functions and data entry processes. ? Maintains effective working relationships with internal and external customers. ? Participates in radiological emergency response functions as needed. ? Performs other duties as assigned by the manager to meet the needs of the Program. ? Works under general supervision with limited latitude for the use of initiative and independent judgment.Essential Job FunctionsEJF 1 (40%) Processing Inspection/Investigation Reports. Processes Risk-Significant Radioactive Material (RSRM) inspection and investigation reports and pre-licensing inspection reports by entering data into the VR System and archiving inspection/investigation reports received according to written policies.Researches any discrepancies between the RAM inspection reports and the VR data. Corresponds with inspectors and reviewers regarding the accuracy of the report information and database records.Returns RAM and X-Ray inspection reports to surveillance for corrections according to policy. Accurately enters inspection and reviewer information in the database according to written policy.EJF 2 (25%) Prepares and tracks compliance correspondence to regulated entities. Assists the QA Reviewers with sending a Notice of Violation (NOV) to the registrant/licensee according to written policy. Tracks the registrant/licensee response and sends 2nd and Final Notices according to written policy. Processes responses from registrant/licensee to a Notice of Violation according to policy.Accurately updates the VR database regarding the status of all customer correspondence and other information related to the QA review.Verifies that the data entry is accurate and then closes the record after the final endorsement is complete.EJF 3 (10%) Coordinates enforcement case referrals for the branch. Facilitates the presentation of radiation cases to the Radiation Compliance Review Committee monthly. Creates a case list, assembles inspection reports, Notices of Violation, and other QA correspondence, and assigns case numbers in VR. Coordinates this information with the Compliance Group. EJF 4 (20%) Administrative DutiesCommunicates with inspectors, quality assurance reviewers, and other radiation control staff to complete assigned dutiesMonitors the PSQA-RAD email mailbox and fax machine for incoming correspondence.Date-stamps correspondence, scans, and records correspondence information in the database according to written policy.Monitors a call line. Receives phone calls from registrants or the general public and directs them to the appropriate state personnel or agency.Coordinates with program administrative staff schedules to ensure there is adequate office administrative support and phone coverage.
