Amazon Executive Assistant, LastMile Transportation - Tech SME in Bellevue, Washington

The Worldwide Last Mile Tech SME organization is looking for an experienced Executive Assistant who wants to work in a global, fast-paced, exciting, and growing organization. We are looking for someone to support two Directors on our teams in Austin, TX and Bellevue, WA.

This Executive Assistant will help build a positive team environment and establish working relationships inside and outside of the organization. They will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives. Role responsibilities include heavy calendar management for two directors and key stakeholders within the team, regularly coordinating complex schedules across global time zones. This role will budget, plan and organize team events and conferences of all sizes, working independently with internal and external vendors, procurement teams and contractors. This EA will organize, manage and submit expenses, and coordinate domestic and international travel.

Key job responsibilities

-Management of complex calendar and scheduling to support two directors and their teams in worldwide locations

-Manage domestic and international travel

-Manage expense reports

-Organize, execute, and coordinate team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events)

-Track and help drive completion of key deliverables and follow up on outstanding items

-Act as a liaison for direct reports

-Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization

-Document proofing, editing, and readiness

-Plan morale and team building activities

-Maintain and organize confidential information

-Assist in the preparation of reports, presentations, and other documents

-Develop and implement efficient administrative systems and processes

-Office Space Management

A day in the life

3 days/week in-office requirements

Basic Qualifications

  • 5+ years of senior level leadership support, or 3+ years of Amazon experience

  • High school or equivalent diploma

  • Experience with Microsoft Office products and applications

  • Experience with executive level calendar management

Preferred Qualifications

  • Bachelor’s degree

  • Superior attention to detail and ability to meet tight deadlines

  • Ability to complete complex tasks quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround

  • Strong organizational, communication, and interpersonal skills

  • Strong analytical skills

  • Demonstrated ability to design and improve processes

  • Ability to prioritize and handle multiple assignments at any given time

  • High level of integrity and discretion

  • Impeccable attention to detail

  • Ability to work effectively with minimal supervision
