Robert Half Executive Assistant in Austin, Texas

Description We are looking for a meticulous Executive Assistant to join our team in Austin, Texas. This role will involve supporting executive functions in a bustling environment, requiring strong organizational skills and the ability to handle multiple tasks simultaneously. Responsibilities include managing calendars, organizing meetings, making travel arrangements, and creating presentations.

Responsibilities:

• Manage executive calendars and emails

• Coordinate and set up events such as lunches and golf outings

• Arrange work-related travel for executives

• Assemble and prepare documents for monthly and weekly meetings

• Prepare for ownership meetings and create reports for the following week

• Create and modify presentations for executive meetings

• Assist with special projects as needed

• Maintain and manage contacts, including personal information used for business development purposes

• Summarize key reports and presentations into executive summaries.

Skills:

• Proficiency in using Concur, CRM, Microsoft Excel, Microsoft Office Suites, and Microsoft Outlook

• Experience with About Time, Calendar Management, Correspondence, C-Suite, and Documentation. Requirements • Proficient in using Concur for expense management.

• Capable of utilizing Customer Relationship Management (CRM) software to maintain client relationships.

• Proficiency in Microsoft Excel for data analysis and report generation.

• Familiar with the entire Microsoft Office Suites, including Word, PowerPoint, and OneNote.

• Skilled in using Microsoft Outlook for email and calendar management.

• Experience with 'About Time' software for time tracking.

• Ability to handle Calendar Management tasks such as scheduling meetings, appointments and reminders.

• Capable of managing Correspondence tasks, including drafting emails and letters.

• Experience in supporting C-Suite executives, including CEOs, CFOs, and COOs.

• Ability to manage Documentation tasks, such as creating reports and maintaining records.
