Robert Half Executive Assistant in Austin, Texas

Description We are offering a role for an Executive Assistant in a Venture Capital Firm located in Austin, Texas. This position requires providing support to three partners and ensuring smooth office operations. The role demands strong organizational and planning skills, with a focus on tasks such as greeting guests, stocking office supplies, planning events, and managing expenses.

Responsibilities:

• Provide administrative support to three partners, ensuring their schedules are well-managed and organized

• Greet and accommodate guests, providing exemplary customer service

• Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing orders for supplies, and verifying receipt of supplies

• Plan and coordinate office events, including meetings, celebrations, and team-building activities

• Manage and process expenses using appropriate software, ensuring all expenses are correctly recorded and submitted in a timely manner

• Utilize Microsoft Office Suites and CRM software to manage and organize office tasks

• Handle office correspondence, ensuring all incoming and outgoing communications are managed effectively

• Maintain and manage office documentation, keeping records organized and easily accessible

• Assist in managing the company's calendar, scheduling appointments and meetings as necessary

• Adhere to office policies and procedures, contributing to the overall efficient operation of the office Requirements • Proven experience as an executive assistant or other relevant administrative support role

• In-depth understanding of the entire MS Office suite, particularly MS Excel and MS Outlook

• Proficiency in using CRM software and Concur for expense reporting

• Familiarity with 'About Time' for time tracking and project management

• Exceptional calendar management skills, with a knack for scheduling meetings and appointments

• Ability to handle and prioritize multiple tasks simultaneously in a fast-paced environment

• Strong organizational and communication skills for managing correspondence and documentation

• Experience in working with C-Suite executives and understanding their requirements

• High level of discretion and confidentiality

• Strong problem-solving skills with a proactive approach to finding solutions
