**[Position Summary The Administrative Specialist performs complex staff services work for the SPB Facilities Division. This position works under the general supervision of the Deputy Executive Director and Facilities Manager with moderate latitude for independent judgement. The Administrative Specialist provides administrative and technical assistance to the Facilities team. Manages calendars and coordination of meetings, appointments, events, activities, travel and other logistics to avoid schedule conflicts.

Plans and coordinates special assignments and Facilities Division programs, including several staff service functions such as personnel administration, purchasing and building and property/asset management.

- - - Manages calendars and coordination of meetings, appointments, events, activities, travel and other logistics for the Facilities Division. - Handles confidential and sensitive information and may correspond with executives at other state agencies, members of the state Legislature, or other high-level contacts.

Drafts, reviews, and edits agency correspondence, documentation and publications. Coordinates routing, and publication of internal and external reports.

Develops and revises administrative policies, procedures, standards, and methods, and provides guidance and interpretation on policies and procedures. Assists with analyzing internal processes and recommends procedural or policy changes to improve processes.

Requisitions and orders good and services in accordance purchasing policies and laws. Prepares and reviews purchase orders for Facilities Division or others as requested.

Coordinates Facilities Division travel and procurement cards, books travel and files expense reports. Manages travel itineraries, coordinates travel, and completes travel requests for staff.
