Job Summary:

Coordinates and assists in the day-to-day sales management activities for new home communities. Responsible for sales reporting, analysis, and cost control assistance. As well as compiles, reviews, analyzes, and verifies sales documents, obtains, reviews, and verifies necessary closing documents for residential single-family homebuyers to coordinate and ensure timely and accurate completion of scheduled homebuyer closings.

Sales Duties & Responsibilities:

  • Prepares and analyzes weekly, monthly, and annual sales reporting.

  • Processes all change orders for all homes in contract and under construction, including sold inventory, updating, and tracking outstanding issues for homes sold and not started

  • Processes cancelled inventory, maintains cancellation and refund information, and refund requests.

  • Maintains Model Phone List, updates coordinating systems/website for changes, processes model bills

  • Maintains Sales and Office software systems, create new efficiencies for processing, updating sales website information.

  • Supports Sales management in the analysis of competitive information and other activities designed to secure market share and positioning.

  • Researches and assists sales management in responding to escalated homeowner issues, concerns, and questions.

  • Conducts sales systems reviews and audits.

  • Works with HR for New Hire paperwork, assists in training all new hires into the Sales department on applicable sales systems, and sales commission tracking. Maintains schedules and tracks paid time off for Sales department.

Closing Duties & Responsibilities:

  • Obtains closing documents; updates and maintains customer files to include surveys, certifications, loan approvals, deeds, etc. Performs computer data entry of information and prepares appropriate reports as required.

  • Verifies sales pricing for accuracy and processes new home sales contracts; verifies and processes customer selection sheets, selection revisions, pricing changes, etc.; performs data entry to computer system for new customer information and revisions.

  • Provides comparable information and documentation for property appraisers.

  • Acts as a liaison between the Construction Supervisor, Title, MI Financial, Outside Lenders, Realtors, and homebuyers relative to pre-settlement and closing information.

  • Send out closing letters, cancellation letters.

  • Verifies home buyer deposits, final price and approving Closing statements/HUD statements.

  • Fill out FHA/VA required documents.

  • Maintain house and mailbox keys

  • Works with outside title companies when applicable

  • Retains financing approvals

  • Generates and distribute weekly Mortgage Status report for closing meeting

  • Generates and distribute monthly reports

  • May assist in general administrative tasks for Vice President of Sales and Marketing.

Requirements

Minimum Education Experience:

High school graduate with basic academic and practical skills gained through school curriculum combined with at least 2-3 years of related work experience and/or training; general knowledge of home building industry within the scope of sales contracts and the understanding of closing procedures and practices.

Skills and Abilities:

General office and administrative skills to assist in the processing of departmental workflow. Customer-service oriented with professional and courteous attitude. Creative thinker and problem solver. Good verbal and written communication skills for interaction with a variety of people inside and outside of the organization; good organizational skills and detail-oriented aptitude. General computer knowledge including but not limited to Microsoft Word and Excel. JDE experience preferred.
