GENERAL DESCRIPTION Performs highly advanced (senior-level) professional assistance work for the Executive Director and Deputy Executive Director. Work involves overseeing high-level administrative operations and providing and coordinating administrative technical assistance for the agencys executive director and executive staff. Work requires frequent contact with other TJJD executive management and staff, staff from local and state governments, and various other agencies, the public, and family members of and/or advocates for youth assigned to the agency Works under minimal supervision with extensive latitude for the use of initiative and independent judgment. May be required to work in excess of 40 hours per workweek, be on-call, and travel occasionally. ESSENTIAL FUNCTIONS Provides and coordinates administrative and technical assistance for the agencys Executive Dire tor and Deputy Executive Director, including coordinating meetings and other events and activities, and the coordination of logistical arrangements and support. (35%) Manages calendars so meetings, travel and appointments are scheduled to avoid conflicts; and coordinates travel arrangements and reservations and completes travel reimbursement vouchers for the Executive Director and Deputy Executive Director to maintain compliance with TJJD policies and procedures. (25%) Collaborates with division management/staff in meeting established objectives and goals; shares information, identifies concerns and trends, and recommends improvements to resolve administrative problems or enhance administrative operations. (15%) Oversees administrative assignments and operations; develops, reviews, communicates, and oversees the evaluation of administrative practices, procedures, and standards; and provides direction on administrative matters. (5%) Maintains supplies and prepares purchase requisitions. (5%) Exercises initiative in making logistical arrangements for events, meetings and conferences at various statewide locations; and prepares and reviews notices or agendas for meetings and hearings. (5%) Assists in the coordination of Board meetings including preparation of notices, other communications, minutes, and coordinating meeting and travel arrangements; and serves as point of contact and provides technical guidance and direction regarding the board meeting agenda and related matters; assists the general counsel with providing coordination and support to the Board; and serves as point of contact for board agenda and materials relating to legal issues as directed by the general counsel. (5%) Reports any presence or perception of racial, ethnic, and/or gender disparities. Performs a variety of related duties not listed, to be determined and assigned as needed. Performs all duties in compliance with agency safety policies and procedures: Reports safety hazards and corrects hazards when possible. Completes required documentation in the event of an accident/injury within requested time frames. Attends work on a regular and predictable schedule in accordance with agency attendance and leave policies. Qualifications: MINIMUM QUALIFICATIONS Bachelor's degree. Six (6) years of full-time wage-earning experience providing administrative support or technical program support. Four (4) years of the required work experience must involve providing support to an executive level position. OR High School diploma or equivalent. Ten (10) years of full-time wage-earning experience providing administrative support or technical program support. Four (4) years of the required work experience must involve providing support to an executive level position. Preferred: Bachelors degree with major course work in business administration, public administration, criminal justice, behavioral science or a related field. Experience and Education Substitutions: Completed course hours of undergraduate study may substitute for up to four (4) years of experience on a basis of 30 course hours for one year of experience. The completed undergraduate course hours may not substitute for the four (4) years of support to an executive level position. Pro-rated part-time experience may satisfy the experience requirement. Note: Any degree, diploma, high school equivalent, or course hours required to meet minimum qualifications must be from an accredited educational institution.
