Overview

The Project Coordinator will provide oversight and administrative support to help streamline departmental operations. Under the guidance of departmental leadership, this position will develop, implement, and maintain programs that improve efficiency and ensures quality data and compliance. This staff member will have supervisory responsibilities; provide in-depth analyses of technology needs; update and maintain SharePoint sites and open source learning platforms; maintain databases; organize regular meetings and reports; support presentations; and onboard international Fellows and Trainees. The incumbent will have be expected to work with a variety of external organizations and Institute departments.

Responsibilities

  1. Provide a wide variety of coordination services, project oversight, and departmental administrative support. Conduct regular assessments of departmental processes, run reports, and recommend changes necessary to increase operational efficiency and accuracy.

  2. Develop, monitor, maintain, review, update, and implement innovative programs that improve departmental procedures, processes, data quality, compliance, and system effectiveness.

  3. Maintain updated information on the SharePoint sites, the internal departmental site, and the Training Administration Intranet website. Cross reference uploaded information with Johns Hopkins to ensure that all 48 individual packets are current and reformat as needed. Update and revise individual pages within the website to ensure the most up to date information is available.

  4. Maintain the Institute’s learning management system.is an open source learning platform designed to provide personalized learning environments. This position is responsiblefor accurately posting course information and content; troubleshoot and resolve system related problems by fielding the Information System (IS) department’s Help-Desk tickets related to the learning management system. Coordinate with IS and oversee the creation of new course pages.

  5. Maintain the Institute’s National Information Reporting System (NIRS) database. Ensure the validity of all content entered. Run monthly and ad hoc reports for other employees. Perform monthly and quarterly data cleans.

  6. Coordinate, organize, and attend quarterly meetings with the Institute’s Training Technology Committee. Work closely with Institute’s leadership (i.e., senior staff, department heads, Human Resources, Finance, and IS) to implement technology best practices and develop uniform systems usage. Create and distribute meeting minutes and follow-up on directed topics between meetings. Attend sub-committee meetings as needed to facilitate larger group discussion and decisions.

  7. Coordinate system related onboarding components for Fellows, Trainees, and Work-study Students; including all required system processing and database entry needed for requisitions, registration packets, appointments, benefits, payroll, and trainee visas. Work closely with Human Resources and Finance staff to process payroll and benefits. Approve new trainee hires in the Workspace system.

  8. Work with Kennedy Krieger Institute’s Human Resources department and Johns Hopkins Office of International Services (OIS) via the iHopkins system to timely and accurately process, track and accurately update new international trainee visas ensuring their processing.

  9. Process and reconcile monthly health insurance benefits reports and invoices. Work with the Johns Hopkins Benefits Office to ensure proper and timely payments. Notify Human Resources of any outstanding delinquencies or changes in health coverage.

  10. Assist in overseeing Core Course presentations during the fall and spring semesters. Responsible for coordinating the video recording of Webcasts, serves as backup videographer, convert and upload video files to the Institutes Learning Management System. Maintain and update electronic evaluation surveys of the weekly presentations and notifies departments of outstanding evaluations.

Qualifications

EDUCATION:

Bachelors of Arts degree required.

EXPERIENCE:

  • Must have 5 years of progressively responsible healthcare experience required.

  • Experience with Project Coordination desirable.
