Description

Our client, a small organization has an excellent opportunity! We are seeking top-notch support in the realms of administrative operations, executive coordination, and overall team dynamic. We need HR, administrative, and operations support, with a particular emphasis on strong organizational skills and keeping things running in a fast paced environment. As the Operations Coordinator, you'll be an integral pillar of our operations, serving as the right hand to our CEO. This is mostly a remote position and must live in the Chicagoland area.

Responsibilities and Areas of Need

● Liaise with team to oversee Company Benefits

● Liaise with carriers to maintain Company insurances and policies

● Liaise with bookkeeping / accounting to process payments

● Maintain Insurance binders are up to date & active

● Maintain Company Policies in collaboration with HR Consultant to ensure compliance

● Manage & Update Company Handbook

● Process Payroll in Gusto (HRIS)

● Proactively Manage Team Member & Company Calendar - occasionally mange CEO calendar scheduling in collaboration with the CEO’s assistant

● Assign and manage assets distribution (laptops, ipads, etc)

● Assist in recruitment, training and onboarding of team members

● Manage incoming communications - monitor public facing email boxes and route as needed to appropriate team members

● Source and secure event items in collaboration with Marketing & Event Coordinator.

● Oversee warehouse inventory with CEO / co-founder / Event Coordinator.

● Coordinate team member travel plans - manage team member event logistics

● Efficiently manage on-site schedules and logistics for events.

● Work with CEO to prepare and plan for events

● Be detail-oriented in management of work and time in a fast-paced environment, displaying a sense of urgency in prioritizing and completing tasks.

● Handle confidential information with discretion. Sort, delegate, and respond to emails professionally and empathetically. Proactively share updates with the team after meetings and correspond with high-profile collaborators

Requirements

You are technologically adept and can comfortably navigate and utilize various tools such as Excel, Word, Google Suite (Docs, Sheets, Calendar, Email), Dropbox, and Slack. You demonstrate professional discretion, capable of maintaining confidential materials and understanding sensitive information. You understand the importance of confidentiality both internally and with the outside world. Your interpersonal and communication skills are exceptional, enabling you to interact effectively with the internal team, high-profile collaborators, and executives. You possess superior English language skills, able to communicate clearly and concisely, both verbally and in writing. You are always available and open to travel within a month’s notice, ready to work side by side with the CEO and manage on-site schedules during events. ● You possess a reliable computer with an internet connection and a mobile phone, capable of using video conferencing services such as Zoom. Bachelor's degree a must
