Anvil Corporation Project Coordinator in Bellingham, Washington
JOB SUMMARY
The Project Coordinator supports the Project Leader(s) to ensure exceptional project execution performance from project kick-off to close-out. The Project Coordinator augments the Project Leader by performing designated project management tasks and facilitating coordination of activities and communication flow across the extended Project Team (internal/external).
RESPONSIBILITIES AND DUTIES
- Develop and/or assist Project Leader with development of a variety of documents including engineering services proposals, management reports, etc. using established templates and internal format/content guidelines.
- Set up and manage Project Folders and/or Collaboration Sites (eg. SharePoint); populate folders with standard templates (APPs, Team Rosters, Action Item Registers, Risk Registers, Decision Logs, Document Distribution Registers, Project-specific standards and specifications, etc.).
- Upon direction from Project Leader follow up with respective personnel to resolve or validate budget and funding concerns; communicate status to Project Leader.
- Upon direction from Project Leader follow up with respective personnel to resolve or validate schedule concerns; communicate status to the Project Leader, highlighting upcoming activities and concerns.
- Assist Project Leader with Meeting Management; schedule standing and purpose-specific meetings, prepare agendas and supporting documents, take meeting minutes and distribute minutes and related documentation to all relevant parties.
- Interface with engineers and designers to ensure that project deliverables meet schedule requirements. Verify the progress of critical documents and drawings.
- Maintain Action Item Registers. Track and expedite Action Items on a weekly basis in coordination with the Project Leader.
- Maintain Request for Information (RFI) logs. Expedite responses to requestors.
- Review Procurement Status Reports weekly to ensure procurement activities are in alignment with the project schedule. Coordinate between Procurement Group and Project Leader to resolve discrepancies.
- Expedite internal reviews of supplier documents/drawings in alignment with project schedules.
- Assist Project Manager to ensure PSQS compliance, including project closeout and turnover activities.
- Maintain understanding of client documentation requirements and issuing procedures and to ensure conformity of deliverables.
Perform other duties as assigned.
REQUIRED SKILLS AND ABILITIES
- Functional understanding of (or capacity to learn) project execution and engineering processes, schedule logic and Critical Path Method (CPM) (sequence of activities and inter-dependencies)
- Excellent organization skills, with the ability to coordinate and prioritize multiple project tasks with multiple parties according to a defined schedule.
- Excellent written and verbal communication and interpersonal skills
- Ability to recognize and solve problems.
Advanced proficiency with Microsoft Office applications
EDUCATION AND EXPERIENCE
- Bachelor's or Associates Degree preferred
1-25 years of experience in a project team environment
PHYSICAL REQUIREMENTS
- Able to sit/stand, type, and perform computer work for long periods of time.
- Frequent use of hands/fingers for computer entry and answering phones.
- Able to perform occasional bending, lifting, and reaching.
- Must be able to lift 15 lbs if necessary.
Field trips to job sites (local and/or remote), with travel and remote site assignments.
