Primary Purpose

The Library Specialist-Interlibrary Loan Support is responsible for day-to-day operations of the Interlibrary Loan ( ILL ) department of the Barber Library, overseeing borrowing and loaning services. Support public services overall, including back-up support for Circulation. Based on needs, is responsible for the library’s open or closing business hours, including possible weekends and evenings.

Essential Duties and Responsibilities

Interlibrary Loan:

  • Provide daily management of Interlibrary Loan ( ILL ) services; work with Head of Access Services to evaluate resource sharing staffing and workflow. Oversee daily Library courier services for incoming and outgoing or other mail related to ILL , including handling shipping and receiving of library ILL materials.

  • Works closely with the Head of Access Services assisting in hiring, training, and overall oversight of Work Study and Irregular Wage library staff. Address and maintain confidentiality and privacy in Interlibrary Loan records, and train library assistants to follow confidentiality policies.

  • Use specialized resource sharing resources for requesting, receiving, processing, documenting, and reporting all interlibrary loan activities. Work with Head of Access Services and ILS & Systems Librarians to ensure proper function of dedicated software applications used for interlibrary loan delivery.

  • Provide and manage daily support for the Orbis Cascade Alliance resource sharing services; partner and contribute toward communication and shared work within the Alliance consortium.

  • Serve as liaison for other local and regional resource sharing library consortia and user groups.

  • Create and maintain process and procedure documentation related to ILL . Participate in ILL assessment and statistical data analysis on a continuous and annual basis

  • Responsible for the maintenance of patron ILL accounts and the handlings of lost or damaged ILL materials, including the Orbis Cascade Alliance Annual Account Reconciliation process. Process claims, invoices, and collection for lost ILL items.

Public Services & Reference Desk Support:

  • Collaborate with the Public Services Team (Head of Access Services, Public Services Support, ILS & Systems Librarian, and Library Director) in support of the Library’s day-to-day front-line operations. Provide backup to Circulation as needed, including help with the library’s daily business readiness.

  • Provides public services support, when needed, in Barber Library. Ensures that the library facility is ready for opening or closing following appropriate procedures and policies. Reports service needs and communicates with the Head of Access Services on issues or related to building access and use.

  • Provides reference and research assistance. Refers complex requests to appropriate librarian.

General Duties:

  • Participate in department meetings and trainings.

  • Perform other essential duties as assigned that support the overall objective of the position.

Individuals must possess these knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the duties and responsibilities of the job, with or without reasonable accommodation, using some other combination of skills and abilities.   • Proficiency in using specialized ILL software and other internet-based applications. Operate within a complex technology environment, including current campus software (e.g., Banner, Bobcat Web) and their applications to library services.

  • Excellent management, training and supervisory skills in working with part-time library assistant employees; ability to build an effective team.

  • Ability to prepare a variety of reports related to operational activities, including statistical analysis.

  • Knowledge of Family Educational Rights and Privacy Act of 1974, its standards and application and Copyright Law.

  • Strong speaking and writing skills as well as interpersonal skills.

  • Skills in time management and organizational skills with attention to detail.

  • Able to follow protocols and escalation procedures while remaining calm in high-pressure situations.

  • Ability to work in a complex work environment and lead effective communications with internal and external stakeholders.

  • Ability to interpret policies and all types of access or privilege status issues.

  • Ability to work independently and analyze and resolve problems with minimal supervision.

  • Ability to be flexible and adaptable in working in a space with frequent interruptions and noise.

  • Ability to work cooperatively within a diverse workplace and campus environment.

    Ergonomic Requirements

Regular office hours are established between 7:30 am to 4:00 pm during the workweek. A flexible work schedule, including nights and weekends, may be necessary due to the nature of the responsibilities.

Incumbent must be able to function effectively indoors in an office environment engaged in work of primarily a sedentary nature. Requires the ability to work at a workstation for extended periods. Requires to write, read written materials and computer screens, and ability to use telephonic conversations. While performing the duties of this job, the employee is regularly required to sit, use hands and fingers; reach with hands and arms. Fifty (50) percent of the time involves extended standing with some lifting under 10 pounds. Additional 10 percent of the time is spent lifting objects under 50 pounds. Must be able to kneel, stoop, crawl and crouch. All individuals are required to perform essential functions with or without reasonable accommodation.

Minimum Requirements

Education:

  • Associates degree, or combination of education and related library experience.

Experience:

  • Six months of work experience in a library, including experience in the use of specialized library software applications in Circulation and Interlibrary Loan.

  • Six months of customer service experience assisting and problem-solving customer issues.

Preferred Qualifications

  • Previous work in academic library, including the use of an Integrated Library System ( ILS ) and/or resource sharing software applications.

  • Library reference desk/research experience and/or knowledge of various software programs.
