We are moving our headquarters to Eagan in 2025! This role is based at our current HQ in Bloomington but will move to Eagan in 2025.
ROLE AND RESPONSIBILITIES
As an Assistant Project Manager, you will play a key role in the administration, planning, and execution of electrical construction projects across the Greater Twin Cities area. Working closely with the Project Manager, you'll supervise projects from inception to completion, developing customer relationships and ensuring economic project management while upholding our commitment to quality workmanship. Assist with monthly billings and budget updates (projects and work orders)
Keep on top of the team to ensure this is completed on time and accurately.
Liaison between ECSI and the finance department to assist with monthly projections, etc.
Assist with managing client’s invoicing portals
Assist with new client on-boarding paperwork
Liaison between the executive and internal teams or external stakeholders to facilitate communication and coordination.
Task Management: Assisting in the assignment and tracking of project tasks to ensure deadlines are met.
Administrative Management: Overseeing office operations and procedures to maintain an organized and efficient workspace.
Process Improvement: Identifying opportunities to improve office procedures and implementing new strategies for better workflow and productivity.
Progress Tracking: Monitoring the progress of the project and reporting updates to the project manager or stakeholders.
Project Assistance: Supporting various office projects by helping with research, documentation, and reporting as directed.
Manage vendor rebate and incentive portals and submissions
Provide backup as needed for colleagues who are traveling for business or on PTO
Communication: Acting as a point of contact between project teams, clients, and stakeholders; facilitating clear communication. Handling incoming and outgoing correspondence, including emails and phone calls. Responding to customer inquiries, providing product information, and addressing any issues or concerns
Documentation: Preparing, managing, and updating project documentation such as reports, plans, and presentations ensuring all necessary paperwork is completed. Manage and update ECSI forms and documents for consistency
Administrative Support: Providing general administrative support such as filing, organizing project documents, and maintaining records.
Assist with employee relations
Keep track of employee birthdays, work anniversary dates, etc.
Coordinate employee events (annual employee appreciation events, etc.)
Event scheduling and Coordination: Managing office schedules, calendars, and meetings; assisting with travel arrangements and event planning.
Task Prioritization: Helping prioritize tasks and deadlines to enable the executive to focus on key strategic activities.
Sales Tools and CRM Management: Supporting the use and maintenance of sales tools and Customer Relationship Management (CRM) software. Maintaining and updating customer records and sales databases to ensure accurate and current information.
Problem-Solving: Assisting in resolving issues that may arise during the project lifecycle, overall sales process and within the office. Addressing and resolving administrative and operational issues effectively and promptly.
Liaison between ECSI and the marketing department to ensure that branding, etc. is consistent and up to date.
Schedule large group meetings (vendors, partners, internal, etc.)
Manage permit applications
Record Keeping: Maintaining accurate records, files, and databases related to office activities, employee details, and business operations.
Research and Analysis: Conducting research and providing summarized findings or insights to aid decision-making.
Support for Sales Presentations: Assisting with the preparation of materials for sales presentations and client meetings.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
High School Diploma or equivalent.
5 years of office administrative and customer support experience preferred.
Intermediate understanding of administrative and clerical procedures and systems.
Intermediate skills in MS Word, Outlook and Excel with ability to learn internal software system.
Strong phone and typing skills.
PHYSICAL REQUIREMENTS
This role routinely uses standard office equipment such as computers, phones, filing cabinets, photocopiers and fax machines.
Employees are frequently required to sit, and occasionally required to kneel, reach, stoop, crouch or crawl.
This position requires the ability to lift files, open file cabinets, and bend or stand as necessary.
This position may occasionally life up to 10 pounds.
