Job Title: Accounts Payable Specialist

Responsibilities:

  • Invoice Processing: Review and process invoices accurately and efficiently, ensuring adherence to company policies and procedures.

  • Vendor Management: Maintain vendor files, including contact information, payment terms, and tax identification numbers. Communicate with vendors regarding invoice inquiries and payment status.

  • Purchase Order Matching: Match invoices with purchase orders and receiving documents to verify accuracy of charges and quantities.

  • Expense Coding: Assign appropriate general ledger account codes to invoices and ensure proper allocation of expenses.

  • Accounts Payable Reconciliation: Reconcile accounts payable transactions to ensure accuracy and completeness of records. Investigate and resolve discrepancies as needed.

  • Payment Processing: Prepare and process payments, including checks, ACH transfers, and wire transfers, in a timely manner. Review and verify payment batches before submission.

  • Cash Flow Management: Monitor cash flow and payment schedules to ensure timely payments while maximizing cash discounts and minimizing late fees.

  • Financial Reporting: Assist in the preparation of accounts payable reports and analyses for management review, including aging reports, cash flow projections, and vendor performance metrics.

  • Compliance: Ensure compliance with accounting policies, internal controls, and regulatory requirements related to accounts payable processes.

  • Integration with QuickBooks: Utilize QuickBooks for accounts payable functions, including data entry, reconciliation, and reporting. Collaborate with the accounting team to ensure accurate and seamless integration of AP data with QuickBooks.

    Requirements

Requirements:

  • Bachelor's degree in Accounting, Finance, or related field preferred.

  • Minimum of 10 years of experience in accounts payable or related role.

  • Proficiency in QuickBooks and Microsoft Excel.

  • Strong understanding of accounting principles and accounts payable best practices.

  • Excellent attention to detail and accuracy in data entry and recordkeeping.

  • Effective communication and interpersonal skills, with the ability to work collaboratively in a team environment.

  • Ability to prioritize tasks, meet deadlines, and adapt to changing priorities in a fast-paced environment.
