Job Summary: Provides administrative support to the office. This role will handle routine, priority, and advanced duties for other professionals, to help meet critical deadlines.

Duties and Responsibilities:

  • Answer phones, screen and route calls to the appropriate person

  • Greet visitors, determine nature and purpose of visit, direct or escort them to specific destination

  • Manage incoming and outgoing mail including general delivery services (i.e., UPS, UPSS, Fed Ex, etc.)

  • Distribute incoming faxes to appropriate persons

  • Standard office duties and various related duties as assigned by other departments such as filing, scanning, data entry, or drafting correspondence

  • Use of computers to enter data, set up functions, or process information.

  • Maintain neat, clean, and inviting common areas

  • Assist with Travel Arrangements (Lodging/Transportation), upon request

  • Order, maintain, and manage office supply inventory

  • Manage conference room needs, including schedule, set up, clean up, stock, and special meeting requirements (i.e. food, drink, media, etc.)

  • Maintaining all office equipment (i.e. fax, printers, computers, scanners, etc.)

  • General Stocking and clean-up of kitchen/break room. Unload/put away clean dishes in the morning and load/run dirty dishes in the evening.

  • Provides administrative support to office personnel as requested (i.e. typing, filing, special projects, etc.)

  • Provide administrative/clerical support for other departments as requested

  • Manage multiple priorities meeting all deadlines in a complete and accurate manner

  • May be tasked to manage administrative accounts and perform data mining

Key Requirements, Education, and Experience:

  • High School diploma or equivalent, AA Degree Preferred

  • Computer proficient with MS Office applications (Excel, Windows, Outlook, etc.)

  • Minimum 2 years' experience in similar position or college credit equivalent

  • Bi-lingual (Fluent in Spanish)

  • Must be able to take direction and complete projects as assigned.

  • Able to use general office equipment (Phone, Fax, Copier, Scanner)

  • Ability to learn new software, processes, and procedures. Must have good solid math abilities in basic calculations.

  • Good math skills with basic computations such as add, subtract, multiple, divide, etc.

  • Excellent customer service and problem-solving skills in a professional environment

  • Must be able to multi-task, organize and prioritize work with minimal supervision.

  • Remain calm in high stress environments while multi-tasking

  • Courteous, personable, and professional manner

  • Self-motivated, able to work minimal supervision

  • Ability to make independent decisions and determine the best way to handle specific tasks

  • Excellent communication skills, both verbal and written

  • Collaborative attitude and work well as part of a team
