As aProject-Contract Specialistat CSHQA, you will use your writing experience to assist architects, engineers, and other professional disciplines to finalize agreements, letters, etc. You should possess strong written and verbal communication skills, be detail-oriented and able to handle multiple tasks simultaneously. You will take direction from and/or coordinate with the COO and Project-Contract Specialists as well as provide administrative support to staff as needed. An ability to identify problems and review related information to develop and evaluate options and implement solutions is necessary. Your ability to function independently as well as interact with peers and fellow employees in a professional manner will contribute to your success.

ESSENTIAL FUNCTIONS TECHNICAL\ Contracts

  • Compose, format, edit, proofread, and finalize project proposals and contracts including ensuring compliance with firm standards and applying flexibility where warranted and allowed.
  • Gather information required to produce complete proposal and contract documents.
  • Consult and manage the following procedures:
    1. Review information received from requestor to determine proper form and method of contracting required.
    2. Utilize firm-approved templates to develop client- and consultant-specific project contract documents.
    3. Perform due diligence and apply industry knowledge, sound and prudent judgement and proper care in the completion of documents to minimize risk.
  • Initiate contract management system workflows to gather information, obtain approvals and monitor contract status.
  • Collaborate with teammates, project managers, Principals, and authorized signatories to ensure proper development and execution of contracts.
  • Order, review, submit and file certificates of insurance as required.
  • Utilize database to identify, track and maintain proposals and agreements.
  • Process and file executed contracts.

Licensing

  • Monitor and maintain existing professional and sole proprietor licenses/registrations including certificates of authorization, certificates of registered trade name, state business licenses, etc., as required for corporate architects and engineers of record and others as designated by leadership or identified by corporate governance policy.
  • Track continuing education credits for corporate architects and engineers of record and others as designated by leadership or identified by corporate governance policy including notifying registrants of status and deficiencies and responding to audits.
  • Utilize database to identify, track and maintain firm-maintained licenses/registrations.

Specifications

  • Facilitate completion of project specifications including the following:
    1. Identifying and coordinating with contributing disciplines.
    2. Utilizing firm-approved templates and completing appropriate documents/sections.
    3. Tracking submittal deadlines, updating tracking software and communicating administrative-level deadlines to contributing disciplines.
    4. Communicating with primary point of contact and specifications writer as appropriate to ensure deliverable meets project needs.
    5. Editing and proofreading sections as assigned.
    6. Receive external consultant sections, review for compliance with standards and coordinate corrections. May include incorporating edits and/or importing sections into database for inclusion.
    7. Coordinating receipt of professional seals for contributing disciplines.
    8. Compiling and producing project manual(s) or technical specifications at varying lev ls of completion.
    9. Finalize, publish and distribute deliverable including printing, if required.

ESSENTIAL FUNCTIONS ADMINISTRATIVE

Compose, review, format, edit, proofread and publish various business documents ensuring compliance with firm standards and, in absence of firm standards, general business standards.

Coordinate business travel including researching options, booking arrangements, reviewing itineraries, maintaining traveler profiles, and handling travel logistics.

Obtain and maintain professional memberships for colleagues as designated by leadership or identified by corporate governance policy.

Register participants for conferences/events/training including registering firm for sponsorships and booth setup when appropriate and enter information into database for tracking.

Participate in the new employee onboarding process by meeting with new hires and providing general and administrative procedure information as outlined in the Human Resources-provided checklist.

Actively participate as a member of the reception inbound call queue by answering, screening, and forwarding calls when received including taking and transmitting messages as needed.

Function as backup to receptionist position by performing primary essential functions when required.
