JOB SUMMARY: Work under supervision of Purchasing team and work with NAPA to ensure accurate and on-time payment is received by the subcontractors. Interact with appropriate internal and external personnel to respond to or resolve issues relating to purchasing policies and/or procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Manage time to most effectively meet the department's goals each day. Meet deadlines with complete and accurate information. Minimizing the effect of unexpected interruptions on long term and daily tasks.
Option Pricing Assistance - Assist Options Coordinator/Agent with ensuring comprehensive list of options are offered and appropriate margins are obtained. Assist in identifying all non-contracted options and obtaining costs from vendors if required. Also, assist in ensuring that Sims has comprehensive list of all options offered and have retail price that guarantees at least a 25% margin.
Subcontractor Billing & Accounting Liaison - Coordination between the Division, NAPA and Subcontractors on any questions that should arise regarding payment status, invoice aging and lien releases, etc.
Purchasing Software KBTPO - Oversee the KBTPO process (reset passwords, train internal and external associates on KBTPO).
Vendor List Maintenance - Maintain accurate vendor list with all contacts; send out to Warranty and Supers monthly.
Lot Level Budgeting - Revising all Lot Level "TBD" WOs once quantities have been measured and confirmed by Construction.
Monthly Purchasing Reports - Responsible for generating monthly reports in JD Edwards AS400 as determined by either Director of Purchasing or VP of Finance.
Vendor Bid outs - Assist Purchasing Agent(s) with bid requests and follow up with vendors to obtain pricing. Create and update bid comparison spreadsheets as directed by Agents.
New Vendor Set-Up - Coordinate with Subcontractor to ensure we have proper documentation in place; assist CPA in obtaining all required documentation from Vendors.
Management and Maintenance of Purchasing Email Inbox - Check Purchasing department email every two hours and forward to appropriate party if required. May involving answering or responding to specific emails.
Work with Internal Employees and External Subcontractors:
Internal:
Purchasing Manager (daily) - communicate work progress and any outstanding issues.
Options Coordinator/Agent- communicate work progress and any outstanding issues.
Purchasing Agent/Manager (as necessary) - communicate on any subcontractor payment issues.
VP Purchasing/Design Studio staff (as needed)
Centralized Purchasing Administration (as needed)
NAPA (as needed)
Production Department (daily) - provide support for any concerns regarding contracts, options, starts.
External:
Subcontractors (as needed) - provide support regarding questions or concerns with KBTPO and payments.
Following up with bid requests and to obtain pricing
Additional assignments as may be needed.
EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:
Education:
- High School Diploma or GED required. Accounting or Business Management degree is helpful but not necessary
Experience:
Construction product and process knowledge helpful, Residential Purchasing and Contracting preferred,
1 to 2 years of General Office Organization, Contract Administration, Administrative Assistance experiences.
Knowledge, Skills & Abilities:
Ability to maintain the highest Ethical behavior

Ability to stay organized and manages priorities in an efficient manner
Possess strong negotiation skills and experience (Senior Coordinator)
Possess ability to develop strong negotiation skills (Coordinator)
Proficient in using MS Word, MS Excel, MS Outlook {mandatory}
Exceptional communication skills necessary, both written and verbal
Detail oriented with good follow-up and follow-thru skills
Good people and problem solving skills
