State of Massachusetts Central Office Receptionist in Boston, Massachusetts
The Department of Children and Families (DCF) is seeking a dynamic, highly organized, and detailed oriented individual with a broad range of clerical experience to manage a high volume of calls and other written communications in their Central Office location.The selected candidate will perform general clerical duties to ensure the efficient and timely delivery of services to consumers. _Duties and Responsibilities (these duties are a general summary and not all inclusive):_ * Answers telephone calls and refers callers to the appropriate department staff. * Prepares and submits routine information concerning agency office locations, programs, and services. * Maintains the Central Office switchboard and office directory. * Oversees the receiving and distributing of incoming mail, packages, to appropriate staff persons within the assigned unit; assists with photocopying as necessary. * Assists Copy Center staff with various projects as needed * Ensures the 4th-floor reception is periodically staffed; refers clients and visitors to appropriate department staff. * Performs computer functions using Microsoft Office Applications to create documents such as letters, e-mail, spreadsheets and charts, lists, and memoranda as required. * Responsible for thedaily collection and distribution of faxes received through the main fax line. * Performs other duties and responsibilities as needed. _PREFERRED QUALIFICATIONS:_ * Proficiency in using Microsoft Office products such as Word, Excel, Access, and Family Net. * Ability to effectively handle complaints presented and maintain a professional demeanor in the public forum. * Demonstrated ability to work with culturally diverse populations. * Capacity to carry out work activities with a minimum of direction. * Superb attention to detail and accuracy, including the use of proper grammar, punctuation, spelling, data, and numbers. Salary placement is determined by a combination of factors, including the candidate’s years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division’s Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range.
