Suffolk University is seeking a Human Resources Coordinator & Operations Specialist. This role performs a wide variety of administrative and operational tasks to ensure smooth and efficient day-to-day support of Suffolk’s Human Resources department and programs.

Administrative Responsibilities

  • Welcome, support, and direct office visitors while serving as the primary front desk for HR and neighboring departments.

  • Manage the Human Resources email inbox, phone, and internal ticket system; tactfully handle inquires independently or triage when appropriate.

  • Responsible for general upkeep of the office; create a welcoming atmosphere; monitor inventories and order office supplies.

  • Process purchase orders and invoices related to operations expenditures and ensure that charges are processed appropriately.

  • Schedule meetings, including making room reservations, arranging room set-ups and placing catering orders for meetings or other events.

    Operational Responsibilities

  • Work closely with the HR Operations and Program Manager to support planning and implementation of the new and ongoing HR programs, policies and procedures.

  • Maintain office files, records and databases; processing routine correspondence, documents, records, and reports as required.

  • Manage employment verifications, employee files requests, and unemployment claims.

  • Assist with Human Resources cost center expense; monitor and analysis of budget vs. actuals.

  • Support and occasionally lead Suffolk’s Onboarding Program; including I-9 verification, New Hire Orientation, and onboarding tracking.

    Special Projects and Program Support

  • Support and maintain employee engagement projects and programs; including the HR Careers Page, employee appreciation events, and Human Resources correspondences.

  • Assist in the coordination and completion of special projects as assigned.

  • Other duties to support HR factions and the University as assigned.

    Requirements

  • High school diploma; College degree preferred.

  • Minimum of 2-3 years of relevant administrative, operational, and/or coordinator experie nce required.

  • Excellent oral, written and interpersonal communication skills

  • Proficiency in MS Office (Word and Excel primarily) and ability to learn internal software

  • Ability to handle highly confidential information with appropriate discretion and sensitivity

  • Must be committed to providing the highest level of customer service and responsiveness
