The College of Arts & Sciences at CU Boulder encourages applications for a Pre-Health Advising Program Coordinator! The Office of Pre-Health Advising's (OPHA) Program Coordinator provides program administration and operational coordination and project management (including administrative services, reception services, data tracking, communication support, event coordination, and reservation management) and ensures every student who uses the Office of Pre-Health Advising receives outstanding service. This role will perform a variety of assignments in support of the day-to-day operations and functions of the office. This position reports to the Director of Pre-Health Advising.

Who We Are

The Office of Pre-Health Advising (OPHA) is an office in the College of Arts and Sciences. The Office of Pre-Health Advising serves all CU Boulder degree-seeking undergraduate students and undergraduate alumni who intend to enroll in a variety of health professional schools, provides counsel on how to prepare to become a strong applicant for health-related professional schools, and helps students to navigate the professional school application process.

What Your Key Responsibilities Will Be

OPHA Program Coordination:

  • Coordinate programs, workshops, fairs, and events for pre-health students

  • Assist with content maintenance and utilization tracking of student-facing Canvas course, including monitoring student activity, assignments and submissions, and ensuring accurate information

  • Coordinate and manage event and program logistics, facilitating connections between students, and building student-to-student collaboration within program

  • Assist the Director in coordinating data on student applications, acceptances, advising appointments, and program outcomes; assists in compiling information and data, preparing administrative and program reports and memorandums

  • Assist Pre-Health Advisors and Director with booking rooms, programming logistics, and attendance at various events

  • May work with and/or supervise as assigned student workers, pre-health ambassadors, pre-health volunteers, and other mentor-type opportunities that promote successful engagement and interactions between students

  • Attend and represent OPHA at various prospective student or admissions events, occasionally presenting on behalf of OPHA, including meeting with prospective students at these events

  • Handle and manage all marketing materials and promotion for office Website/Communications:

  • Answer OPHA electronic email account, professionally representing OPHA and staff when doing so; follow-up with email requests to clarify information, answer questions, and/or direct inquiry

  • Communicate effectively with faculty, staff, campus partners, external collaborators, and professional schools

  • Assist with managing website content and ensuring its accurate portrayal of information

  • Support staff with the development of brochures, flyers, and informational materials, as needed

Student Contact:

  • Provide excellent service to students and function as initial contact for student questions, concerns, and problems

  • Possess knowledge of deadlines for student matters, procedures for obtaining advisement, and information regarding commonly asked student questions, in order to screen requests, refer students, and answer student questions

  • Serve as initial point of contact for students, conducting group introductory intake appointments with students to determine the best service they can receive from OPHA staff as assigned

  • Assist current students with questions regarding services of office and orienting them to the pre-health community

  • Assist prospective students in answering their questions via email and occasionally, meeting with them and/or their families in person

  • Manage all onboarding of new pre-health students and their designation process along with the removal of that status for students who request that

  • Manage the transition of undergraduate students to alumni who opt-back in to use our services after graduating, including helping them with new systems they must use as an alumni and assigning them advisors; Additionally, manage all new alumni who request use of our services

Administrative Duties:

  • Perform comprehensive administrative functions to support daily OPHA program operations

  • Compose correspondence, manage pre-health listserv, compose reports, and other documents as requested

  • Manage onboarding/offboarding logistics for OPHA team

  • Identify and order supplies, materials, equipment, and services for the office; maintain inventory of office supplies and technical equipment; organize supplies for storage and/or distribution

  • Assist with purchases for programs and assists Director in tracking budget expenditures; reconciling p-card expenditures for the office on a monthly basis

  • Assist Pre-Health Advisors and Director in updating student assignments to advisors and in creating specific case loads for advisors alongside the Director

  • Schedule staff's travel and accommodation arrangements, including processing and reconciling travel expenses in a timely manner and assisting with staff travel paperwork as needed

  • Reserve campus spaces and/or virtual spaces for speakers, workshops, and events

What You Should Know

This position may have the option for a hybrid remote work schedule.

What We Can Offer

The annual salary range for this full-time position is $50,000-$56,250.

What We Require

  • A bachelor's degree from an accredited college or university or an equivalent combination of education and experience may substitute on a year-for-year basis.

  • One year of related administrative and project coordination experience.

  • Ability to remain detail oriented while balancing multiple due dates.

  • Ability to work independently, prioritize multiple projects and requests, and work in a fast paced environment.

  • Willingness to work in an environment which may demand some flexibility, including occasional evening or weekend work to accommodate presentations, activities, and events.
