Aston Carter Union Payroll Specialist in Bound Brook, New Jersey

Title: Union Payroll Specialist

Location: Bound Brook, NJ

Pay: $28 - $32 an hour

An industry leading construction company is looking for a union payroll specialist to join their team! The primary areas of responsibility of this position are to perform various assignments such as payroll processing, running weekly payroll reports in preparation for weekly payroll payments, preparing and submitting all weekly payroll deductions/withholdings, preparing all weekly, monthly, quarterly and end of year mandatory payroll reports, and more!

Job Description:

• Review Weekly Timecard submission from HCSS and prepare for payroll entry. (40 employees)40

• Enter, review and process payroll for union and non-union employees.

• Submit weekly ACH file for employee direct deposits.

• Run weekly payroll reports in preparation for weekly payroll payments:

• Prepare and submit all weekly payroll deductions/withholdings.

• Prepare all weekly, monthly, quarterly and end of year mandatory payroll reports.

• Maintain all pertinent employee information/files.

• Maintain/Update accurate pay rates and deductions for all employees.

• Ensure all Union prevailing wage rates are accurate and maintain all union fringe/deduction information.

• Resolve payroll discrepancies as needed.

• Address payroll-related issues or disputes promptly and effectively, seeking resolutions in accordance with applicable regulations.

• Investigate and resolve discrepancies in payroll calculations, ensuring accuracy and fairness for employees.

• Maintain accurate records of employee information, including personal details, tax withholding forms (W-4), and banking details for direct deposit.

• Update SAGE (Payroll Software System) with changes in employee status, such as new hires, terminations, promotions, or wage increases.

• Keep abreast of any changes in tax laws, labor regulations, or industry standards that may affect payroll processing.

• 401K Quarterly/Yearly Employee Reports for IRS compliance and Fiduciary Notices.

• Run/Enter Certified Payroll Reports and submit as each active project demands.

• Review/Prepare and submit EEO Reports for federal, state, and local agencies for all active projects.

o EEO Logs

o AA-202 Reports

o CC-257 Report

o MEUR

o Miscellaneous reports as needed.

• Collect, review, and maintain all Certified Payroll & EEO Reports from each subcontractor for all active projects and submit timely to job owner.

• Ensure reports are accurate, complete, and submitted on time for all active projects.

• Prepare and submit all monthly union reports.

• Forward monthly benefit payment amounts to AP for payment.

• Resolve union reporting/benefit payment discrepancies as needed.

• Manage all Union Audits

• Maintaining detailed payroll records for audits and other reporting purposes.

o Data included but not limited to employee hours, wages, taxes withheld, and benefits contributions.

• Generating payroll reports for management to track labor costs and project budgets. (this is how I worded it for T&M’s and Pay Estimates)

• Generate reports on payroll expenses, labor costs and other relevant metric for management or accounting purposes.

• Generate weekly steward reports.

• Assist in Audits as needed/required.

• Create and maintain various reports used for project management.

Experience:

  • Must understand DOT regulations

  • 2+ years experience with union payroll processing

  • Must have experience with Sage software

  • Proficient with Microsoft Excel with the ability to work through pivot tables and VLOOKUPS
