Details:

Under the direction of the Program Director, the Administrative Assistant ensures that the programs under the Director of Nursing operates efficiently by working collaboratively with all program staff. The Administrative Assistant must work as a team member, including interacting with managers of different areas of the organization, presenting findings to the Program Director and higher management. The Administrative Assistant must have excellent customer service skills and able to develop internal and external resources and relationships to support the program.

The salary range is $40-50,000/annually

KEY ESSENTIAL FUNCTIONS:

  • Track and submit Clinical Weekly Productivity Reports, Daily Census Report, Provisional Report, Census Capacity Report, and client monthly survey reports.

  • Facilitate Client Behavioral Modification meeting with the Interdisciplinary Team.

  • Ensure payroll is accurate and complete, coordinate discrepancies with payroll department.

  • Serve as Operation desk back-up when needed.

  • Prepare agenda for staff meetings, record and maintain minutes, as necessary.

  • Monitor compliance with OASAS and STARS reporting.

  • Maintains all paper documents, scans, and administrative records.

  • Connect with MIS on program IT needs, compile list of items for the program and alert the Program Director/ Senior Administrator to assist with potential barriers.

  • Assist program with maintenance/housekeeping coordination.

  • Ensure all inventory, check requests, petty cash, supply orders and billing is completed accurately as per policy, submitted and tracked.

  • Assist Clinical staff with NexGen EMR issues.

  • Organize staff and client events (i.e. birthdays, promotions, certifications…etc.)

  • Orders and maintains all office supplies, forms, and equipment.

  • Assist Program Director with special projects.

  • Other duties as assigned by Director/Supervisor.

REQUIREMENTS:

  • Minimum of (3) Three years of administrative experience required.

  • High School Diploma, or Associate, BA preferred

  • Must be team oriented and possess a positive attitude with a willingness to be flexible and helpful.

  • Excellent computer skills including the Microsoft Windows computer environment, Microsoft Word, Excel, PowerPoint, and electronic communications tools: internet and email.

  • Organizational skills; proven problem solving and interpersonal skills with experience providing complex, confidential administrative support in a high-profile environment w/ tact and diplomacy; proven ability to work w/ multiple deadlines and multiple priorities.

  • Ability to work across a variety of projects and with diverse constituencies; flexibility, adaptability, and ability to work in a changing environment.

  • Previous relevant experience in a Behavioral Health environment required.

  • Ability to use business acumen to exercise good judgment and decision-making.

  • Ability to deal with sensitive issues with diplomacy and discretion.

  • Must be able to multitask with strong organizational skills.

  • Excellent interpersonal skills and able to communicate both verbally and in written form.

  • Ability to maintain a professional demeanor under pressure and operate with a keen sense of urgency and commitment to quality.

  • Bilingual Spanish preferred
