Candidates must have the required qualifications to be considered for the position. The salary or hourly rate offer will be based on the candidate’s experience in the exact or comparable position and additional preferred qualifications will be considered.

PURPOSE OF POSITION:

In addition to supporting all programmatic offerings and completing any tasks deemed necessary by the Program Director, essential duties and responsibilities include:

Schedule: Monday – Friday, 35 hours/week (Day Shift)

Salary: $20 - $21.50/hour

ROLES, RESPONSIBILITIES AND ESSENTIAL DUTIES:

Administrative Support, Compliance, & Implementation

  • Perform clerical duties such as typing, filing, answering telephones and emails, ensuring messages are transmitted and received.

  • Assist the Program Director and Assistant Director with registration, maintenance of participant records and attendance on paper and on DYCD systems, ensuring records and files are up-to-date.

  • Document face-to-face, telephone, and Zoom communications with guardians and participants.

  • Fill-in staffing gaps by assisting with classroom monitoring, program meals, and COVID-19 screenings/contact tracking.

  • Assist the Program Director and Assistant Director with coordination of special events, projects and trips.

  • Assist with creation and implementation of the program schedule, and enrolling participants in scheduled activities as instructed by Program Director.

  • Provide overall support and assistance to the program.

  • Contact guardians of participants to follow up on applications, records, attendance, and participation.

  • Assist parents/guardians in application and enrollment process, as needed.

  • Along with Program Director and Program Coordinator, assist in the provision of family/caregiver support and resources.

  • Assist with any program activity deemed necessary by the Program Director and Program Coordinator.

  • Create program materials including calendars, flyers, and promotional media.

  • Maintain office supplies and inventory, creating and placing purchase orders as necessary.

  • Initiate calls and outreach to participants, stakeholders and vendors upon request of the Director.

  • Other related assignments as directed by Program Director and program administrators.

    Program Development

  • Assisting with creation and implementation of the program schedule, and enrolling participants in scheduled activities as instructed by Program Director.

  • Assisting in the organization and implementation special projects.

    Program Procedures and Safety

  • Complying and enforcing all health and safety guidelines and regulations set forth by the RiseBoro Youth Center, the NYS Department of Health, NYC Department of Health, and the Centers for Disease Control.

  • Assisting Program Director with resolving participant medical or behavioral incidents quickly & appropriately.

  • Informing the Program Director and Program Coordinator of any issues and providing written statements when necessary.

    REQUIRED SKILLS/QUALIFICATIONS:

  • Must be detail oriented, highly organized, and have the ability to prioritize tasks and meet deadlines.

  • Must have a passion for working in service to the success of youth programs, and be willing to go above and beyond program mandates for the benefit of the children.

  • Ability to work independently and collaborate with a team, working well with others to inspire success.

  • Must be organized, detail-oriented and able to multitask, take initiative, and work independently on tasks.

  • Ability to effectively prioritize responsibilities, set and meet deadlines; with strong communication & writing skills.

  • Previous experience working in an administrative support capacity.

  • At least two years experience working with young people preferred.

  • Bilingual in English & Spanish is a plus

    SKILLS, KNOWLEDGE & ABILITIES:

  • High School Diploma or equivalent
