The Patient Services Representative provides all reception, clerical, and organizational support to the Center for Behavioral Health. They will collaborate and support team members to ensure a patient focused approach to care. As part of the Essential Functions for this role, the Patient Services Representative:

  • Greets and welcomes patients in Evergreen’s Center for Behavioral Health. Provides a positive, welcoming, customer service-oriented experience for the patient.

  • Receives and handles a variety of incoming calls for Evergreen’s Center for Behavioral Health.

  • Accurately schedules all new and existing patients. Ensures that scheduling procedures/protocols are adhered to in the Center for Behavioral Health.

  • Maintains open slots documents and referral/intake monthly numbers and submits to Patient Services Manager.

  • Ensures the placement of patients with appropriate providers based on scheduling need and provider requests.

  • Fulfills transportation requests for clients following established policy and procedure.

  • Assists in maintenance of clean, neat, safe environment for staff and clients. Keeps the desk, office, and lobby neat, clean, and well supplied.

  • Will serve as a role model for positive, productive, and cooperative relationships with staff and clients.

  • Orders supplies and restocks common areas as needed.

  • Captures all necessary demographic and insurance information for all patients before scheduling an appointment.

  • Checks patients in and out through the EMR. Verifies and updates all patient demographics and personal information. Updates patient photo and consents for all new patients and minimally annually thereafter.

  • Ensures verification and eligibility of all insurances at time of scheduling or walk-in visit.

  • Scans insurance card and identification into EMR.

  • Collects all co-pays, sliding scale fees, and other fees associated with service and works closely with the Financial Counseling Center to work out patient’s insurance needs.

  • Utilizes the EMR system for timely and accurate data entry.

  • Schedules patients for follow-up appointments at check out and coordinates all other scheduling needs with their assigned point people and the Patient Services Manager.

  • Assist in confirming patients’ groups and appointments where applicable.

  • Makes outbound calls to patients to connect for services. Works on reports, scheduling request and other triages in Medent, and other tasks assigned by the Patient Services Manager to assist in patient care.

  • Answers incoming calls for the Center for Behavioral Health. and assists patients with general questions, appointment scheduling, and initiating patient requests. Routes calls to proper designated area within the practice.

  • Retrieves and addresses voicemails received for the Center for Behavioral Health.

  • Assists the Patient Services Manager with retrieving incoming mail, packages, and deliveries.

    Qualified Candidate will have a high school diploma. Must be able to communicate clearly and professionally in writing and verbally with a strong knowledge of medical terminology (preferred). Attention to detail and computer efficiency required. Experience with EMR (Electronic Medical Records) systems strongly preferred. Excellent typing and editing/proofreading skills highly desired. Sensitivity toward cultural diversity, people living with HIV/AIDS and lifestyle and addiction issues essential.

    Required education: HS Diploma or GED

    Preferred experience: Working in EMR systems
