What You Will Do

The Executive Assistant (EA) provides comprehensive administrative support, partnering closely with the executives to efficiently manage the Executive’s schedule, priorities, and projects. This role requires exceptional organizational skills, attention to detail, and the ability to handle complex calendars, travel logistics, and high-level administrative tasks.

This position currently supports the SVP, Content Finance and VP, Finance & Planning - Marketing.

Responsibilities

  • Provide exceptional administrative support to multiple Studio Finance executives and team members, which includes answering phones, scheduling meetings and conference rooms, organizing files, arranging travel, processing expense reports, ordering supplies, handling invoices, and responding to inquiries

  • Collaborate closely with executives to adeptly manage their calendars and time by proactively handling schedules, anticipating and resolving issues promptly, and identifying necessary materials/files for meetings

  • Develop and maintain strong relationships with internal and external partners

  • Utilize relevant technologies to develop and maintain an efficient follow-up system, setting priorities, meeting deadlines, and ensuring assignments are completed with minimal direction.

  • Creates a professional and positive environment for all who interact with the Studio Finance team

  • Perform miscellaneous duties and undertake projects as assigned when needed

Required Qualifications & Skills

  • Excellent computer proficiency in Microsoft Outlook, Word

  • Proven experience in supporting an executive office as a highly effective and integrated partner

  • Deadline-oriented, with the ability to problem-solve and make decisions with sound judgement

  • Demonstrate resourcefulness and adaptability to an evolving, high-demand environment

  • Demonstrated ability to prioritize, meet deadlines, make decisions and change course of action quickly

  • Exceptional organizational and follow-thru skills with the ability to work on many tasks simultaneously

  • Detail oriented with the ability to maintain professionalism under pressure

  • Ability to anticipate needs, be proactive, resourceful and flexible

  • Team player with positive/easy-going manner to handle varied personalities, responsibilities and assignments

  • Ability to operate on a shared desk and form a strong partnership with the other Admin(s)

  • Available to work onsite 5 days per week, some overtime may be necessary. Accessible via telephone and e-mail to handle urgent requests

Education

  • Bachelor’s degree or equivalent experience

The hiring range for this position in Burbank is $58,630-$78,650 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
