Job Summary

The Senior Administrative Assistant is responsible for administrative, clerical, and office activities that support CS @ home and Capacity Command Center programs. Performs a broad range of duties to support the facilitation of administrative workflow within the department.

Primary Duties & Responsibilities

  • Participates in administrative workflow, e.g., scheduling interviews and appointments, processing applications

  • Staffs the front office, e.g., greeting, pointing the way, processing badges

  • Performs task-based roles, supporting the director, assoc. director, program administrators

  • Engages in correspondence, calls, emails, data processing, supply orders, and badging

  • Schedules appointments and meetings. Makes arrangements for meetings, conferences, or travel for an individual, group or department.

  • Researches and responds to inquiries and calls, may escalate to other levels of the organization as appropriate.

  • Formats, types, and edits correspondence, documents, memos, reports, meeting minutes and/or presentation materials.

  • Compiles financial and operational data from multiple sources to assist management in preparing and monitoring budget and Capacity Command Center and CS @ Home workforce, and program planning and/or other department reports. May prepare summary of information or data.

  • Distributes and disseminates information within the department and/or unit.

  • Orders supplies and arranges for equipment and environmental maintenance.

  • Maintains CS @ Home and Capacity Command Center Dashboards

  • Submits, monitors and tracks invoices, reimbursements, and supply management. May assist with preparation and submission of travel & expense reports.

  • Establishes and maintains an internal filing system.

  • May act as or support the Staff Development Advisory Network (SDAN), Safety Representative and/or UKG timecard editor within the department and or unit.

  • Provides administrative support for daily Operations huddle including data gathering and projecting of the huddle

Qualifications

Education

HS Diploma/GED Required

Experience

Minimum of 2 years administrative or office experience required

Proficient use of Microsoft Office Suite

Proficient use of office technology and A/V equipment

Very strong interpersonal skills

Keen attention to detail
