What You'll Do: Tracking, Planning, and Recordkeeping: Establish, track, and maintain master schedule for all contracted stormwater, wastewater, and drinking water system inspection and maintenance services - > 5,000 different assets at 50+ locations. Schedule field activities in accordance with contract schedules for routine stormwater, wastewater, and drinking water inspection and maintenance work with field staff, clients, and subcontracting partners. Track and record truck and specialized equipment use, and coordinate vehicle and equipment maintenance, PPE procurement, and capital requests. Maintain accurate and organized project and ARTEMIS (proprietary GIS database) records documenting ongoing inspection and maintenance. Communication and Coordination: Daily communication with field teams, managers, and clients to keep updated on problems, concerns, issues, surprises, and changes. Coordinate vehicle and equipment maintenance, PPE procurement, and capital requests. Solicit subcontractor and vendor bids/quotes. Reporting: Submit/document and track Dig-Alert (811) tickets for renewal Issue and document potable water turn-off events in writing a minimum of 48 hours in advance with community and maintenance managers. Review all field documentation (a) for compliance, (b) for completion report, and (c) to identify and flag additional work needed and any variance to contract scope of work. Use field notes, photos, and submittals to draft concise work-completion reports focusing on before-and-after photo documentation to verify complete execution and compliance with the scope of work. Review, edit, format work-performed reports using combination of Canvas, ARTEMIS, Word, PDF, and Excel (concise reports focusing on documenting conformation with scope of work including relevant photos). Report formatting including TOC, figures, tables, photos, headers, and compilation of attachments. Prepare/format photo logs. Identify, propose, implement reporting improvements with focus on efficiency, clarity, and contract compliance. Support proposal formatting, bid compilation, and project logistics. What we're looking for: 2+ years' experience in a professional services environment. Minimum of GED or high school diploma, college degree highly preferred. Strong experience and highly efficient using and formatting Word, Excel, and Adobe Acrobat. Strong people skills for effective communication over the phone and via texts, instant messaging, and email. Exceptional attention to detail. Excellent organizational skills needed to track, record, and electronically file a large amount of data, reports, photos, and billing records. Proactive thinking person with good initiative/self-motivated. Experience with business communication. Working understanding/history supporting construction and service contracts. Interested?
