What Your Job Will Be Like:

We are seeking an Administrative Support Assistant (job title: Administrative Support) to conduct a range of organizational and operational tasks in support of our 08882 Repository Performance Program. Working at Sandia's Carlsbad site, you will be part of a highly motivated team of professionals and work closely with technical staff, management, administration, purchasing, IT, and facilities to address day-to-day department needs as well as support overall mission success. We are looking for a self-motivated professional who is highly organized, team-focused, and an effective communicator capable of multitasking. The primary focus of this role is to support purchasing, maintain records, and manage/edit documents. This position will require strong communication with technical team members to keep operations running efficiently by assisting with purchases, handling event calendars, helping meet QA timeframes, and writing technical documents.

On any given day, you may be called on to:

  • Purchase laboratory items/consumables at the direction of laboratory staff

  • Maintain inventory, receive incoming shipments, and stock supply areas

  • Digitize laboratory notebooks/data and organize such in a clear and available manner

  • Edit technical documents for clarity, brevity, and correctness

  • Initiate hazardous waste disposal processes at the direction of laboratory staff

  • Work with administration/Laboratory Coordinator to schedule equipment maintenance and escort service providers

  • Other administrative duties as needed

Due to the nature of the work, the selected applicant must be able to work onsite in Carlsbad, NM.

Salary Range:

$39,900 - $72,300

*Salary range is estimated, and actual salary will be determined after consideration of the selected candidate's experience and qualifications, and application of any approved geographic salary differential.

Qualifications We Require:

  • High school diploma or equivalent

  • Proficiency with common office software, such as Microsoft Office

Qualifications We Desire:

  • Associate's degree or higher (e.g., Bachelor's degree) in a STEM-related field

  • Ability to organize, prioritize, and follow through to completion on multiple tasks in a quick-paced environment

  • Strong analytical skills

  • Prior laboratory work experience

  • Experience working with vendors for instrument purchase and preventive maintenance contracts

  • Experience in purchasing and inventory management

  • Excellent verbal and written communication skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail

About Our Team:

The Waste Isolation Pilot Plant (WIPP) is the world's only licensed and operating deep geologic repository for the disposal of transuranic nuclear waste. WIPP is operated by Nuclear Waste Partnership, LLC, under contract to the Department of Energy's Carlsbad Field Office (CBFO). Sandia provides scientific advice to CBFO in many areas, including modifications to the repository's operating permits, periodic recertification of the repository, and on-going monitoring of repository performance against regulatory requirements. The Defense Waste Management Programs Group (8880) provides the scientific and other resources needed to advise the DOE on issues that may pertain to continued and uninterrupted certification and permitting of WIPP.

Posting Duration:

Security Clearance:

This position does not currently require a Department of Energy (DOE) security clearance.

Sandia will conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications. Furthermore, employees in New Mexico need to pass a U.S. Air Force background screen for access to Kirtland Air Force Base. Substance abuse or illegal drug use, falsification of information, criminal activity, serious misconduct or other indicators of untrustworthiness can cause access to be denied or terminated, resulting in the inability to perform the duties assigned and subsequent termination of employment.

If hired without a clearance and it subsequently becomes necessary to obtain and maintain one for the position, or you bid on positions that require a clearance, a pre-processing background review may be conducted prior to a required federal background investigation. Applicants for a DOE security clearance need to be U.S. citizens. If you hold more than one citizenship (i.e., of the U.S. and another country), your ability to obtain a security clearance may be impacted.

Members of the workforce (MOWs) hired at Sandia who require uncleared access for greater than 179 days during their employment, are required to go through the Uncleared Personal Identity Verification (UPIV) process. Access includes physical and/or cyber (logical) access, as well as remote access to any NNSA information technology (IT) systems. UPIV requirements are not applicable to individuals who require a DOE personnel security clearance for the performance of their SNL employment or to foreign nationals. The UPIV process will include the completion of a USAccess Enrollment, SF-85 (Questionnaire for Non-Sensitive Positions) and OF-306 (Declaration of for Federal Employment). An unfavorable UPIV determination will result in immediate retrieval of the SNL issued badge, removal of cyber (logical) access and/or removal from SNL subcontract. All MOWs may appeal the unfavorable UPIV determination to DOE/NNSA immediately. If the appeal is unsuccessful, the MOW may try to go through the UPIV process one year after the decision date.

NNSA Requirements for MedPEDs:

If you have a Medical Portable Electronic Device (MedPED), such as a pacemaker, defibrillator, drug-releasing pump, hearing aids, or diagnostic equipment and other equipment for measuring, monitoring, and recording body functions such as heartbeat and brain waves, if employed by Sandia National Laboratories you may be required to comply with NNSA security requirements for MedPEDs.
