Be part of the team that provides evidence-based solutions and policy recommendations that keep Utah burning bright.   Job Description:                                                                          * We are seeking a highly motivated Administrative Assistant for the Utah Office of Energy Developments' Utah San Rafael Energy Lab. The Administrative Assistant will help support the work of the lab,leveraging agency policies,procedures,and practices. The person in this role will need the ability to work independently and provide administrative support for a major statewide program that may include one or more of the following duties: coordinate grant applications and paperwork,coordinate and schedule projects and/or activities; provide high-level administrative support to the director,and lab staff as needed; facilitate and coordinate committee and board meetings; coordinate/schedule meeting or conference rooms and arrange for speakers,equipment,etc.; maintain calendars,schedules and coordinate executive appointments and travel arrangements. The Administrative Assistant will report to the Utah San Rafael Energy Lab Director and work closely with the Finance Director   *Principal Duties: 

  • Provides administrative support.
  • Acts as a resource to provide information or determine the most effective way of meeting the needs of management,staff,and other customers.
  • Coordinates and/or acts as a liaison between agency or work unit and other agencies,work units,organizations,suppliers,etc.
  • Reviews incoming correspondence; initiates replies as appropriate; routes matters requiring action by staff or other organizations and follows up to ensure actions are completed.
  • Schedules and/or coordinates appointments,meetings,facilities,equipment,etc. and follows up as needed.
  • Facilitate and coordinate committee and board meetings to coordinate agency activities and facilitate agency goals and initiatives.
  • Coordinate paperwork and forms required for grant proposals.

     Qualifications: 

  • A high school diploma is required for this position.  

  • Knowledge of standard business and office practices. 
  • Knowledge of administrative and clerical procedures and systems such as Microsoft Office,managing files and records,and ability to type. 
  • Exceptional communication skills,both written and verbal,with the ability to engage effectively with diverse audiences. 
  • Ability to work independently and as part of a team.
