JOB GOAL:

GENERAL JOB SUMMARY:

The Program Specialist will work in a team environment to provide technical and administrative support to the K-12 Partnership department programs and staff, including the Executive Dean. The Program Specialist will need to be a knowledge expert of the K12 Partnerships: College Credit in High School (CCHS), Vocational Individualized Training and Learning Services (VITAL) and Workplace Learning Connection (WLC). This individual must be able to communicate well, work effectively as a team member, prioritize tasks, and independently solve problems. Must maintain confidentiality, be positive and helpful under pressure and demonstrate a high degree of flexibility. A degree of independent judgment and cooperation with other college employees and departments is essential.

The typical work schedule for this position will be Monday through Friday from 8 am to 5 pm.

DUTIES/RESPONSIBILITIES:

  • Screen, direct, and respond to inquiries from internal and external visitors, phone calls, email, etc.

  • Assist in communication and resolution of problems with program and operational staff, as well as internal and external partners.

  • Manage and maintain program administrator schedules, appointments and travel, arrange and coordinate meetings and events.

  • Produce, edit, and compile reports, correspondence, communications, presentations and other documents.

  • Support concurrent enrollment operations and projects.

  • Provide administrative support for VITAL program.

  • Coordinate and assist with K12 partnerships event planning (e.g. professional development, departmental meetings, retreats.)

  • Assist with out of district registration and communication process for the CCHS alternative concurrent enrollment program.

  • Manage department purchasing including the creation of purchase orders as needed.

  • Assist with coordinating special stipends as needed.

  • Serve as Point of Contact (POC) for department for a variety of technical platforms including KIN site, Web Directory, etc.

  • Assist in addition of new faculty and staff, including submission of New Employee Form, and entries in Colleague, the Online Directory, etc.

  • Participate in college-wide meetings and committees.

  • Assist with the creation and management of K-12 Partnership contracts.

  • Maintain compliance with required trainings as designated by supervisor

  • Perform other related work duties as assigned.

PHYSICAL ACTIVITIES WITH/WITHOUT REASONABLE ACCOMMODATION:

Position involves working in an office setting. Occasional (10-33%) standing, pushing, pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work. Constant (67-100%) sitting, walking, repetitive motion, talking and hearing.

MINIMUM QUALIFICATIONS:

  • Associate’s Degree

  • Computer skills, knowledge of standard computer software and office equipment required.

LICENSES, CERTIFICATIONS, OR REGISTRATIONS REQUIRED:

  • Valid driver’s license

PREFERREDQUALIFICATIONS, LICENSES, CERTIFICATIONS, OR REGISTRATIONS:

  • Bachelor’s degree plus 1-3 years’ experience preferred

  • Experience in an educational setting highly desired
