Job Summary: Hudspeth is currently seeking an Office Administrator . This position reports to the Division Managers and must have a positive and enthusiastic outlook with a strong ability to multitask and oversee office functions, welcome visitors, coordinate meetings and appointments, and support the company operations by maintaining office systems, overseeing operational efficiency, and effective communications.

Duties and Responsibilities:

  • Supports company operations by maintaining office systems.

  • Order office supplies, maintaining inventory of office supplies.

  • Assist in organizing office events and/or conferences.

  • Maintaining calendars for executives or teams.

  • Handling incoming and outgoing communications (emails, phone calls, letters).

  • Maintains office Calendar and conference rooms calendars.

  • Assisting with the recruitment process (scheduling interviews, coordinating paperwork).

  • Inputting and updating data in databases or spreadsheets.

  • Assisting colleagues with administrative tasks as needed.

  • Performs other duties as assigned.

Key Requirements, Education, and Experience:

  • Proficient in MS Office with advanced knowledge of MS Excel

  • Excellent time-management skills, self-motivated, organization, and attentive to detail

  • Ability to communicate effectively, both verbal and written with customers and employees at all levels

  • Bilingual

  • Ability to understand and follow specific procedures and directions.

  • Must have a clear background and successfully complete drug screen.

  • Ability to work independently and as part of a team.

  • Bachelor's degree in business administration is preferred.

  • Knowledge and Experience in Heavy Industrial Construction Industry preferred.

  • Minimum of 2 yrs. experience in Office Administration.
