Job Summary:

Paper Source and Barnes & Noble are seeking a Project Specialist to oversee processes for all projects for the Design team from briefing to completion, ensuring each part of the project meets internal and external deadlines. You will play a key role in maintaining project flow between the Design and Merchandising teams, proactively alerting stakeholders of upcoming project milestones and required deliverables on proprietary product development. This role requires superb communication and organizational skills to ensure the Design team works both independently and as a team to deliver on the needs of the business.

What You Do:

• Establish and maintain processes throughout the product lifecycle, setting quality and performance standards and tracking and communicating changes from request to completion.

• Anticipate and evaluate timelines needed for designers to complete projects in partnership with the Design Director, Art Director, and merchants.

• Manage and drive project schedules and communications based on the development calendar.

• Responsible for evaluating if the team is on track to meet required deadlines daily, weekly, and monthly and appropriately escalating when projects are at risk of not meeting deadlines.

• Support sampling and prototyping process to identify and address key issues with vendors.

• Develop and maintain partnerships with third-party vendors.

• Assign and monitor resources to ensure project efficiency and maximize deliverables.

• Schedule meetings with internal and external business owners on behalf of the Design team.

• Serve as the point person for any questions regarding project workflow, job status and deadlines.

• Communicate project progress, updates, and results to the design and merchandising team. Take appropriate action to proactively address project completion issues.

• Stay up to date on industry trends and best practices to continuously improve project strategies.

• Excellent communication skills, with both internal and external stakeholders to inform and navigate projects to defined goals.

• Extremely detail-oriented, highly organized and ability to manage multiple projects at one time.

• Familiarity with standard project management procedures and tools is a plus.

• Ability to work both independently and in a team environment.

• Excellent time-management skills

• Must have interpersonal skills to balance approachability, customer service and creative problem solving with firm and decisive demeanor necessary to keep assignees on task.

• Ability to work both independently and in a team environment.

Knowledge & Experience:

• 2 or more years of relevant work experience. Experience in a retail environment preferred but not required. Bachelor’s degree preferred.

• Ability to speak to experience in managing deadlines and delivering in a timeline-driven work environment.

This is a hybrid position expected to be onsite at least 3 days per week in Chicago, IL
