Job Description Summary
The primary responsibility of the Executive Administrative Assistant is to ensure smooth and efficient administrative and operational support to GE Healthcare’s Head of Financial Planning & Analysis and assigned leadership teams. Responsibilities will be broad and changeable in nature ranging from coordinating or leading special projects, arranging conferences to preparing presentations. This role will have a heavy operational focus supporting business processes.

Job Description
Roles and Responsibilities
Support Head of Financial Planning & Analysis in all related administrative tasks which may include effectively maintaining and coordinating calendars, scheduling meetings, making travel arrangements, processing and reconciling expense accounts and handling various purchases which may include invoice arrangements and serve as a backup for the CFO Executive Administrative Assistant.
Be an active member of the leadership staff providing insights and generating ideas for improvement projects.
Handle confidential and sensitive information.
Schedule, plan and organize in-house and off-site meetings, training, and events. This can include ordering and setting up catering, meeting time management and running all applicable meetings logistics.
Support on-site recruiting by ensuring leaders availability for scheduling, assisting with conference room availability and greeting candidates upon arrival.
Coordinate/lead key projects and the roll out of business-wide initiatives such as events that support the broader business organization.
Provide general office administrative services and support. This includes, but is not limited to, supporting the onboarding of new employees/contingent workers, answering questions re: central sites, internal processes and e-tools, assisting with international and domestic shipping, initiating IT support requests and liaising with facilities management.
Assist with communications related activities such as maintaining relevant distribution lists, producing email correspondence, presentations, meeting agendas, new hire and organization change announcements.
Support facility maintenance, including coordination with cleaning crew, maintaining conference rooms, working with facility contractors and coordinating general support for the building.
Cover and support local Administrative Assistant team.
Other functions may be assigned, as necessary
Qualifications
- Bachelor’s degree with 4+ years of experience in an Administrative or Operational Support role
Desired Characteristics
Advanced knowledge of general office management and current computer/office communications technologies; expert in PowerPoint, Word, Excel, Outlook and Teams.
Strong independent problem-solving skills with the ability to be resourceful and propose solutions and connect with others in the business proactively to achieve optimal results.
Excellent interpersonal, verbal and written communications skills including strong grammatical skills with ability to effectively interface with senior management and high-profile customers.
Extremely well organized, with high attention to detail, yet able to multi-task and remain calm in a fast-paced environment of changing priorities.
Demonstrated project management skills to quickly identify issues, create solutions and meet deadlines.
Self-Starter, proactive, able to exercise independent judgment with minimal direction.
Demonstrated ability to grasp new concepts and think quickly.
Ability to think clearly and work through ambiguous problems. Possessing the personal drive and commitment to implement innovative solutions.
Ability to accept constructive feedback and consider different ways of working.

For U.S. based positions only, the pay range for this position is $76,000.00-$114,000.00 Annual. It is not typical for an individual to be hired at or near the top of the pay range and compensation decisions are dependent on the facts and circumstances of each case. The specific compensation offered to a candidate may be influenced by a variety of factors including skills, qualifications, experience and location. In addition, this position may also be eligible to earn performance based incentive compensation, which may include cash bonus(es) and/or long term incentives (LTI).
