Job Overview This position facilitates the management of day-to-day operations contributing to achieving the Ohio Innocence Project's mission and goals and provides support to the Director, Co-Directors, staff, and students in the Ohio Innocence Project at the College of Law. Essential Functions Serve as liaison to collaborating partners and organizations including community and cultural organizations, religious entities, and a variety of professionals including judges, attorneys, legislators, professors, and mental health providers. Prepare and edit all forms of correspondence including forms, presentations, memos, letters, reports, emails, meeting agendas, minutes, and materials. Assist in planning, scheduling, prioritizing, and coordinating meetings, events, presentations, classroom instruction, projects, and other deliverables with law school community, elected leaders, collegiate program advisors and leaders, community and professional education partners, clients, and speakers including virtual platforms, invitations, room reservations, catering, equipment, technology, CLE, promotion, syllabi, and other materials. Monitor, screen, respond to, and route incoming communications and email correspondence on behalf of the Director and Co-Directors; organize and prioritize action items and escalate relevant information as needed; may have delegated signature authority for certain tasks. Provide backup coverage for OIP litigation phone lines; check and log voicemails and ensure messages are relayed in an expeditious manner. Manage mail database and outgoing mail including generating and logging prison control numbers for prison bound mail and returning calls from prison mail rooms. Maintain strict confidentiality of privileged information and data. Develop and utilize electronic filing and retrieval systems to maintain records and reference materials; assist with paper file storage and scanning client documents. Monitor and order office supplies, including printer toner and maintenance. Coordinate and ensure timely processing of OIP accounts payable & receivable, including contracts, invoices, and payments to exonerees, experts, and investigators. Coordinate travel arrangements and prepare expense reports and reimbursements on behalf of directors, staff, students, clients, and speakers for meetings, hearings, investigative trips, prison visits, etc. Assist with tracking and preparing financial reports for donor and foundation grants, gifts, and expenditures. Perform related duties based on departmental need. This job description can be changed at any time. Required Education Bachelor's Degree. Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement. Required Experience One (1) year of program coordination experience.
