Maintenance Planner - Colby, WI

This is a salaried, non-exempt level position.

Position Summary:

The Planner/Scheduler is expected to improve work force productivity and work quality through the planning and coordination of labor, parts, material, tools, equipment access, documentation, and work area access within the Maximo CMMS program. This person will also prepare a weekly schedule of work to execute for assigned craftsman and share it with production and maintenance supervision.

Position Responsibilities:

  • Create, for the use of the maintenance work group, complete and accurate planned work packages.

  • Create complete and accurate planned work packages for the maintenance team, including estimated man-hour requirements, skill sets, drawings, manuals, special procedures, bills of materials, kitted parts, special tools, and equipment, permit and inspection requirements, safety evaluations, and pre-job safety checklists.

  • Conduct field checks to gain a full understanding of tasks involved, ensuring accuracy in job packages and clear communication with operations.

  • Walk with production or maintenance supervision to assess the scope of materials, job hazards, manpower, and specialty equipment required for tasks.

  • Break down complex work requirements into individual steps, allocate time to job plan steps, and establish reasonable time estimates to perform work safely, efficiently, and with precision.

  • Identify required materials from onsite stores or external suppliers, ensure materials are kitted and staged before scheduled work begins.

  • Work with maintenance supervision to create daily, weekly, and monthly schedules. Ensure 80% manpower loading and full utilization of crafts for scheduled work orders.

  • Brief external contractors and ensure proper staging of specialty equipment before scheduled work.

  • Lead weekly work order prioritization and scheduling meetings with production and maintenance supervision, selecting work orders ready for the upcoming week and identifying work to be scheduled 2-3 weeks in advance.

  • Deliver the final weekly schedule to production and maintenance supervision prior to Friday, ensuring the schedule is considered final and unchangeable.

  • Encourage and act on feedback from technicians, addressing recommendations in a timely manner.

  • Independently manage duties, ensuring all tasks are completed effectively and efficiently.

  • Assess and assign appropriate skill levels to tasks, ensuring cost-effective service and quality results.

  • Work collaboratively with the maintenance team to optimize work execution and support team goals.

Position Qualifications:

  • Working knowledge of trades classifications and functions including tools and materials, and task specific sequencing required for maintenance and repairs and preventative maintenance tasks.

  • High school diploma or equivalent required.

  • Working knowledge of trades classifications and functions including tools and materials, and task specific sequencing required for maintenance and repairs and preventative maintenance tasks.

  • Prior use and interpretation of maintenance or facility maintenance union contracts and vendor contracts applicable to job task assignments.

  • Use of safety measures and the understanding of OSHA regulations for construction and trade work.

  • Certified Maintenance and Reliability Professional (CMRP) preferred.

  • Excellent communication, interpersonal and customer service skills.

  • Demonstrated proficient use of various computer programs.

  • Experience with interpreting blueprints, diagrams and manuals.

  • Accurate and acute written and oral communications skills

  • Ability to coach and mentor peers, and to share among peers newly found or developed skills, techniques and improvements.
